About The Job: Are you an organised and proactive individual with a knack for supporting senior executives? Do you thrive in a fast-paced environment? If so, this role is for you! As an Executive Assistant, you will play a pivotal role in ensuring the smooth operation of the office while providing exceptional personal assistance.
Key Responsibilities:
- Director General Support:
- Manage comprehensive diary scheduling and meeting coordination.
- Handle full travel management, including booking accommodations and visas.
- Conduct bi-monthly meetings with key stakeholders to align on events and deadlines.
- Prepare briefing packs and take notes during meetings.
- President Support:
- Organise travel and accommodation logistics for the President.
- Assist with expense reconciliations and documentation for official travel.
- Senior Management Support:
- Coordinate travel for General Counsel, Head of Trade Policy, and other senior leaders.
- Assist with PowerPoint presentations for training sessions.
- Provide administrative support for committee meetings and drafting circulars.
- Represent the organisation at external conferences in Europe.
Key Skills and Attributes:
- Proven experience supporting senior executives at a board or CEO level.
- Exceptional organisational and time management skills with keen attention to detail.
- Discretion and professionalism in handling sensitive information.
- Flexibility to accommodate ad hoc and out of hours requests.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office suite and document management systems.
- Strong initiative and problem-solving capabilities.
