Customer Services Executive / Admin Assistant - START ASAP
Richmond, Surrey (3 days per week in the office)
Β£15-17 per hour depending on experience
Temporary with strong potential to become permanent
Our client looking for a highly organised and proactive Customer Services Executive / Admin Assistant to join their close-knit team of 10. This is an excellent opportunity for someone who enjoys a varied role, combining customer service, administration and finance support within a growing business.
Working across sales, stock and operations, you'll play a key role in keeping the business running smoothly. The successful candidate will be detail-oriented, comfortable working with numbers, able to manage multiple priorities and thrive in a busy environment.
Key Responsibilities
Customer Service & Invoicing (50%)
- Maintain and update the sales orders tracker
- Match daily orders against proof of delivery documentation
- Raise customer invoices, debit notes and credit notes
- Handle customer invoice queries
- Process orders and provide cover for the Customer Services Manager when required
General Administration (30%)
- General office administration and team support
- Manage sample requests and company documentation
- Maintain internal trackers including holiday, sickness and key holder records
- Manage customer and supplier due diligence processes and annual reviews
- Update supplier packaging information and associated spreadsheets
- Ensure company insurance documentation remains current
- Support HR administration, including employee records and compliance documentation
- Maintain customer files and office records
- Manage inventories of samples, POS materials and stored items
- Provide ad hoc support to the wider team
Finance Administration (20%)
- Assist with matching payments to sales invoices
- Process and log supplier invoices for submission to external accountants
- Handle supplier and accounts payable queries
- Maintain accurate filing and financial records
About You
- Previous administration experience is essential
- Finance administration or accounts support experience would be highly beneficial
- Strong attention to detail and accuracy
- Comfortable working with numbers and financial information
- Excellent organisational and communication skills
- Ability to work independently and use initiative
- Able to work well under pressure in a fast-paced environment
- Strong Excel skills
- Experience with Sage 50 and/or Microsoft Dynamics would be advantageous
