About the Role: Our client, a prominent trade union organisation, is seeking a detail-oriented and proactive Membership Administrator to join their team on a temporary basis. This role is essential in ensuring the smooth operation of membership services and administrative functions within the organisation.
Key Responsibilities:
- Organise work time effectively to support the priorities and instructions from the General Secretary.
- Maintain a comprehensive understanding of the computer systems utilised within the department.
- Develop and manage projects as required by the General Secretary.
- Ensure all postal correspondence is properly logged and directed to the relevant departments for acknowledgement.
- Regularly monitor emails sent to the organisation, taking appropriate actions or forwarding them to the relevant colleagues.
- Handle the invoicing and dispatch of goods.
- Accurately update membership records and administer the direct debit system.
- Communicate with members regarding unpaid subscriptions and input payments into the membership system.
- Respond promptly to queries from members.
- Manage the numbering and distribution of circulars.
- Administer Executive Committee minutes.
- Register retired members in the membership system and issue corresponding badges and cards.
- Assist in the production and distribution of retirement and other certificates.
- Help organise and distribute long service badges to members.
- Maintain a list of non-members receiving company literature.
- Produce ballot information to ensure legal advisers have the necessary details for verifying membership.
- Produce and distribute publications as requested by various departments.
- Maintain and distribute quarterly branch reports.
Shared Duties:
- Provide cover for switchboard duties when necessary.
- Type letters, papers, and circulars as required.
- Perform printing and photocopying tasks.
Candidate Requirements:
- Strong organisational skills and the ability to manage multiple tasks effectively.
- Proficient in the use of computer systems relevant to membership administration.
- Excellent communication skills, both written and verbal, with a strong focus on member service.
- Attention to detail, particularly in maintaining accurate membership records and handling correspondence.
