This is an exciting and newly created role supporting the Operations & Delivery Team to ensure projects are organised, documented, and progressing smoothly. The Project Coordinator will manage project administration, procurement, scheduling, compliance, and client communications, helping deliver workplace design and fitout projects from enquiry through to handover.
Key Duties & Responsibilities
- Coordinate day-to-day project activities, site logistics, subcontractors, and scheduling.
- Maintain project documentation, including H&S files, RAMS, site records, and SharePoint data.
- Raise purchase orders, track deliveries, and liaise with suppliers to maintain project timelines.
- Support programme management through Gantt charts, milestones, and subcontractor bookings.
- Assist with cost tracking, purchase orders, and variation management.
- Ensure compliance documentation relating to CDM, building control, and ISO standards is up to date.
- Maintain accurate records within Buildertrend and HubSpot.
- Support client communications, providing updates and resolving project queries.
- Coordinate project handovers, O&M manuals, snagging lists, and project close-out documentation.
- Support internal scheduling, meetings, reporting, and administrative activities across the Operations team.
Candidate Requirements
Essential
- Strong organisational and administrative skills with excellent attention to detail.
- Ability to manage multiple projects and priorities simultaneously.
- Excellent written and verbal communication skills.
- Proactive, solutions focused approach with strong problem solving ability.
- Experience using project management and CRM systems, or the ability to learn quickly.
- Comfortable working to deadlines, schedules, and project programmes.
- Strong relationship building skills with clients, suppliers, subcontractors, and colleagues.
- Team oriented mindset with a flexible, hands on approach.
Desirable
- Knowledge of procurement and scheduling processes.
- Experience within construction, workplace fitout, facilities, or project based environments.
- Understanding of CDM regulations, building control requirements, and project compliance processes.
- Familiarity with Buildertrend, HubSpot, Gantt charts, and milestone tracking.
