About the Team

The Information and Data Management Office is responsible for the governance of information and data assets across the organisation. We provide colleagues with the guidance and the capability to store their information securely, keep it for as long as it is required, to collaborate effectively, and maintain evidence of how Ofcom comes to decisions. We ensure that our records are managed in line with all relevant legislation including the Public Records Act 1958, the Freedom of Information Act 2000, Data Protection Act 2018 and UK-General Data Protection Regulation.

Purpose of the Role

This is an 18-month fixed term role to help our governance of information assets across our organisation. You will work with members of the team to introduce effective information architecture patterns, develop relevant policies, ensure adherence to data regulations, and educate colleagues on effective information management practices. You will bring subject matter expertise in document management systems and an understanding of information lifecycle management. You will be contributing to our motivated Information and Data Management programme that aims to accelerate our maturity as a responsible AI enabled knowledge organisation.

Your key responsibilities

  • You will help maintain and enhance our information and data governance processes, providing support as part of a multi-disciplinary team to colleagues across the organisation in the management of information assets.
  • Use your expertise in information management to lead thinking, deliver, influence and challenge, sharing knowledge with others at pace.
  • Guide and advise on the resolution of specific information management risks and issues by recommending improvements to the governance, procedures and user support strategies.
  • Take responsibility for specific information governance and records management projects, creating relevant documentation as well as planning, testing, implementation, and change management.
  • Manage stakeholder relationships, and expectations, and collaborate with teams to synchronize dependencies and input, particularly across ICT, governance and communication areas.
  • Draft and communicate clear and actionable policies that describe the behaviours we expect, and how we should manage information and data across our document management systems and connected environments.
  • Conduct audits to ensure compliance with information governance procedures, including metadata, access and storage policies.
  • Provide training and support that develops others.
  • Champion a positive and constructive culture which inspires and motivates individuals.

The skills, knowledge and experience you will need for success

It is essential that you can demonstrate the following knowledge and experience:

  • Embracing change: Have supported information governance projects, remaining flexible in the face of change, anticipating and adjusting to shifts.
  • Trailblazing ideas: Bring fresh perspectives through creative and original ideas that improve information management processes, policies, or services.
  • Harmonising Work: Work effectively with others, creating an honest team environment and sharing valuable information and resources.
  • Empowering development: Willing to introduce records and information management best practices that are proportional to the available resource and organisation design.
  • Articulating Ideas: Able to communicate information in succinct and well-presented styles.

You will need to bring your knowledge of applying records & information management and governance across the Microsoft 365 ecosystem. Although not essential to be considered for the role, experience with Microsoft Purview Risk & Compliance and Data Governance solutions is desirable.
