Core Purpose

Manage the daily logistics, scheduling, and administrative activities for assigned marine coordination projects. Provide day-to-day management and support to Marine Coordinators across multiple OEM sites. Maintain close liaison with the Vessel Inspection Coordinator, providing support and assistance as required.

Key Responsibilities and Accountabilities

  • Project Management: Liaise with the Head of Department and Senior Project Managers to coordinate service delivery and support commercial compliance requirements. Provide regular project status and progress updates to the Head of Marine Coordination. Attend site visits with the Marine Department Project Managers where possible. Maintain project planners, briefs, documentation, and tracking systems, ensuring all records are accurate and up to date. Review and approve all project documentation, including weekly and monthly reports. Participate in project debriefs, capturing lessons learned and reviewing client feedback to support continuous improvement. Provide support across other projects as required to ensure continuity of operations during team member absence or annual leave. Liaise with the WPD team to support manpower planning and recruitment requirements as needed. Ensure all projects are appropriately resourced in line with client requirements. Maintain the training matrix for personnel and projects, ensuring the Training Department is kept informed of any contractual changes to mandatory qualification requirements. Liaise with relevant agencies and internal teams to support the application and processing of work visas and permits. Create and post job adverts as required to support recruitment activities. Liaise with the travel department to coordinate accommodation and travel requirements. Request PPE and workwear for project personnel via the stores and logistics team.
  • Cost Management: With guidance from senior management, monitor project performance to ensure alignment with commercial agreements and budget throughout the project lifecycle. Ensure all project KPIs are achieved and monitored throughout delivery. Review and approve contractor and employee timesheets. Reconcile and verify contractor invoices monthly. Review and approve project invoices as required. Complete monthly project trackers and review and approve project proformas prior to submission to the client.

Skills and Experience

  • Previous industry and/or marine experience is desirable.
  • Strong planning skills with the ability to evaluate and reflect on personal performance.
  • Excellent communication skills with proven experience engaging with customers and clients.
  • Ability to think clearly and apply strong analytical skills.
  • Proficient in IT applications and tools, including Microsoft Office.
  • Strong teamwork and collaboration skills with the ability to work effectively across teams.
  • Results-oriented with a positive and proactive approach.
  • Strong focus on delivering high levels of customer satisfaction.

Qualifications

  • Holds a full UK driving license.
  • GCSE Maths and English (or equivalent) at Grade C/Level 2 or above.
  • IOSH Managing Safely qualification is desirable.
