We are currently seeking an Operations Coordinator to join our Cargo Logistics Division.

  • Bridge of Don, Aberdeen, United Kingdom.

Contract

  • 1 year fixed-term contract (maternity cover).

Core Purpose

  • To contribute effectively within a fast-paced team by ensuring customer data is accurately and promptly updated in the rental database, maintaining high standards of data quality, integrity, and service delivery.

Key Responsibilities and Accountabilities

  • Accurately record all customer asset movements in the Rental Management System (C-SAM) daily, ensuring data integrity and timely processing.
  • Ensure all customer data is accurately recorded in the Rental Management System (C-SAM) within required timescales, meeting month-end deadlines to support timely and accurate invoicing.
  • Prepare and submit daily customer reports in accordance with contractual requirements, ensuring accuracy, completeness, and timely delivery.
  • Reconcile monthly customer tracker reports in line with contractual obligations, ensuring accuracy, completeness, and timely resolution of any discrepancies.
  • Work collaboratively with the Operations team and customers to ensure all asset movements and related queries are accurately recorded, maintained, and resolved within the Rental Management System (C-SAM).
  • Liaise with customers to verify billing information, investigate discrepancies, and ensure timely resolution of any billing queries.
  • Complete all documentation and system updates relating to the sale of assets and intercompany asset transfers across all OEG entities, ensuring accuracy and compliance with company procedures.
  • Maintain and update pricing information for key customer accounts within the Rental Management System.
  • Raise purchase orders and process goods receipts through the Focal Point purchasing system.
  • Provide administrative support to the Certification team as required, ensuring effective coordination and timely completion of tasks.
  • Provide operational and administrative support to the Sales and Rental teams, assisting with day-to-day activities to ensure efficient service delivery.
  • Provide support across the Operations Department as required, contributing to business objectives and maintaining operational efficiency.
  • Maintain high standards of accuracy, attention to detail, and customer service, ensuring all activities are completed in line with company procedures, policies, and quality standards.
  • Contribute to continuous improvement initiatives by identifying opportunities to enhance processes, improve efficiency, and support operational excellence.

Skills and Experience

  • Good working knowledge of administrative systems, with the ability to accurately maintain records and process information efficiently.
  • Strong IT skills, including essential proficiency in Microsoft Excel and the ability to use digital systems effectively.
  • Ability to work effectively within a fast-paced environment, managing competing priorities and meeting operational deadlines.
  • Strong attention to detail with a focus on maintaining accuracy and quality across all tasks.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and effectively with internal teams and customers.
  • Highly organised with the ability to manage priorities effectively and consistently meet deadlines.
  • Ability to work independently with minimal supervision while also contributing effectively as part of a collaborative team.
  • Demonstrate a proactive approach to the role, taking initiative to identify solutions, improve processes, and support business objectives.

Qualifications

  • English qualification at Standard Grade level or equivalent.
  • Maths qualification at Standard Grade level or equivalent.
