Role Purpose
To support the Document Controller and wider project teams with the management, coordination and control of project documentation. The role ensures that drawings, specifications, technical submissions and project records are correctly uploaded, distributed, reviewed, tracked and archived throughout the project lifecycle.
Key Responsibilities
- Document Management
- Assist with maintaining the document control system across all projects, ensuring compliance with ODGroup standards.
- Upload, organise and distribute drawings, RFI responses, schedules, and technical documents using project management platforms (e.g., Aconex, Asite, Procore, Viewpoint, or similar).
- Ensure that the latest revisions of documents are available to all stakeholders.
- Support the creation and maintenance of document registers, ensuring accuracy and up-to-date information.
- Project Support
- Issue documents to subcontractors, consultants, and clients following project-specific protocols.
- Support the tracking and chasing of outstanding information, drawing approvals and technical submissions.
- Assist with collation of O&M manuals, handover documentation and project close-out material.
- Quality & Compliance
- Ensure all documents meet formatting and naming protocols set by ODGroup and client requirements.
- Maintain accurate audit trails of all uploaded/issued documents.
- Support internal QA processes to ensure all project information is stored correctly and consistently.
- Administrative Duties
- Provide general administrative support to project teams, including filing, data entry and document preparation.
- Assist with generating reports, trackers, and summaries for internal and client use.
- Attend project meetings where required and support with minute-taking and action logs.
Skills & Experience Required
Essential
- Experience in an administrative or project support role (construction or fit-out preferred).
- Strong IT and organisational skills with high attention to detail.
- Ability to manage and prioritise multiple tasks in a fast-paced environment.
- Good understanding of file structures, version control and document handling.
- Excellent communication skills, both verbal and written.
Desirable
- Previous experience as Project Administration or Assistant Document Controller.
- Familiarity with common document management systems used in the construction industry (e.g., Procore, Aconex, Asite, Viewpoint etc.).
- Experience working within commercial fit-out or interiors projects.
- Knowledge of ISO quality management standards.
