The Role:
- Provide comprehensive typing, secretarial, and administrative support to fee earners and the wider team.
- Prepare and transcribe correspondence and legal documents using digital dictation, audiotyping, word processing, and firm precedents.
- Manage client and matter files, including electronic filing, document storage, file opening/closure procedures, archiving, and case management systems.
- Handle day-to-day administrative tasks, including scanning, printing, photocopying, mail management, scheduling meetings, diary management, and travel arrangements.
- Deliver professional client service by acting as a key point of contact, handling enquiries, arranging document retrievals, and maintaining clear communication.
- Support compliance, financial administration, time recording, billing processes, confidentiality requirements, and adherence to firm procedures and guidelines.
- Maintain professional development, develop proficiency in relevant software systems, and contribute flexibly to a collaborative team environment while undertaking ad hoc duties as required.
Specific to the Team:
- Binding and sewing wills
- Using the strong room to retrieve, store, and dispatch original documents
- Preparing wills, codicils, living wills, LPAs, deeds of revocation, and deputyship orders
- Managing the care, storage, and administration of legal documents
- Completing legal forms and Land Registry searches
- Understanding trust and deposit accounts and estate administration procedures
About you:
- Secretarial experience, including digital dictation.
- Strong Microsoft Office and keyboard skills.
- Excellent attention to detail and document formatting.
- Clear communication and ability to work under pressure.
- Organised, proactive team player with strong time-management skills.
