Job Description
Costing & Billing Team Manager – London
Salary: £60,000 – £65,000 per annum
Hybrid: 1 day per week working from home (after successful completion of probation)
An established London law firm is seeking an experienced Costing & Billing Team Manager to lead their Legal Aid billing operations. This key role oversees all aspects of Legal Aid billing, including CCMS, Legal Help, high-cost case plans, and civil claim uploads, ensuring accuracy, compliance, and timely submissions to the Legal Aid Agency (LAA).
You’ll manage a small, dedicated team of billing officers and administrators, working closely with fee earners and finance colleagues to streamline processes and support the firm’s operational and financial goals.
Key Responsibilities:
Billing Operations
- Oversee preparation, submission, and reconciliation of Legal Aid bills.
- Manage billing for both controlled and certificated work, including CCMS submissions, CRM6s, and high-cost case plans.
- Liaise with the Legal Aid Agency regarding claims, appeals, rejections, and audits.
- Ensure billing is accurate, compliant, and submitted within LAA deadlines.
- Advise and support fee earners and support staff on all Legal Aid costs matters.
- Provide training and guidance to legal teams on billing processes and best practice.
Team Leadership
- Lead, supervise, and support the billing team, including setting objectives and managing workloads.
- Deliver training and ongoing development to maintain high standards.
- Review and enhance internal processes to improve efficiency and turnaround times.
Compliance & Reporting
- Maintain accurate billing records and ensure compliance with all audit and regulatory requirements.
- Support preparation for LAA contract audits, file reviews, and peer reviews.
- Monitor billing KPIs and prepare regular management reports.
- Work closely with the finance team on cash flow forecasting and reconciliation.
Person Specification:
Essential
- In-depth knowledge of Legal Aid Agency billing, including CCMS, high-cost case claims, Legal Help, and inter partes bills.
- Minimum 5 years’ experience in Legal Aid billing and costs negotiation.
- Proven leadership and team management experience.
- Excellent attention to detail, organisation, and ability to meet deadlines under pressure.
- Strong communication and problem-solving skills.
- Experience using legal case management systems (e.g. Legal Aid Agency Portal, CostMaster, Tikit).
Desirable
- Previous experience managing a billing or finance team within a law firm.
- Knowledge of Legal Aid contract compliance and audit preparation.
- Proficiency with Excel and reporting tools.
- Law degree advantageous but not essential.
