Join OCU Group as a Site Administrator and play a key role in supporting the successful delivery of a major live construction project at Devilla Wood. Working closely with the Project Director, Project Manager and wider project team, you'll help ensure the smooth day-to-day running of the site office and provide vital administrative support across the project. This is a varied and hands-on role where no two days are the same, offering exposure to project delivery, document control, onboarding, training coordination and stakeholder support. You'll be a central point of contact for the team, helping maintain organisation, accuracy and efficiency across site operations. What you’ll do:
- Manage day-to-day office administration and ensure the smooth running of the site office.
- Handle incoming emails, telephone calls and correspondence.
- Maintain electronic and paper filing systems, ensuring records are accurate and up to date.
- Coordinate business travel and accommodation bookings for project personnel.
- Order office supplies and support office facilities management where required.
- Support onboarding and induction processes for new employees and contractors.
- Assist with the coordination of training activities and maintain training records.
- Prepare, format and distribute reports, spreadsheets, presentations and project documentation.
- Support the tracking of purchase orders, invoices, supplier information and project costs.
- Provide administrative support to the Project Director and Project Manager.
- Assist with document control and project information management activities.
- Coordinate meetings, take minutes and track actions through to completion.
- Maintain accurate records across company systems and shared platforms.
- Support the wider project team with administrative tasks as required.
What you’ll bring:
- Previous experience in an administrative, office support, site administration or coordination role.
- Strong IT skills, including Microsoft Word, Excel, Outlook, Teams, PowerPoint and OneDrive.
- Excellent organisational and time-management skills.
- High level of attention to detail and accuracy.
- Ability to manage multiple priorities and work effectively in a busy environment.
- Strong written and verbal communication skills.
- Ability to work independently, use initiative and solve problems proactively.
- Previous experience working on construction, engineering, infrastructure, utilities or project-based environments.
- Experience supporting project teams, site teams or operational departments.
- Familiarity with document control systems and shared digital workspaces.
- Experience coordinating training records, onboarding or compliance documentation.
- Confidence working with a range of internal and external stakeholders.
