Project Administrator Role Overview The Project Administrator plays a vital support role in the project delivery team, providing administrative, organisational, and logistical assistance to the Project Manager and project teams. This role ensures the efficient coordination of project documentation, communication, and processes, contributing to the successful execution of construction and rail projects. The Project Administrator will be responsible for maintaining accurate records, supporting compliance with company policies, and assisting with the day-to-day operations of projects. Duties and Responsibilities 1. Administrative Support • Provide comprehensive administrative support to the Project Manager, including scheduling meetings, preparing agendas, and taking minutes. • Maintain organized project records, ensuring all documentation is accurate, up-to-date, and accessible. • Manage correspondence, including emails, reports, and client communications, ensuring timely responses. 2. Document Control • Manage the flow of project documentation, including drawings, specifications, contracts, and reports. • Ensure proper version control and filing of documents in line with company procedures. • Assist in preparing and distributing project-related documentation to internal and external stakeholders. 3. Project Coordination • Assist with the coordination of project schedules, meetings, and progress updates. • Monitor and track project milestones, deadlines, and deliverables, providing updates to the Project Manager. • Liaise with subcontractors, suppliers, and other stakeholders to ensure smooth communication and collaboration. 4. Compliance and Reporting • Ensure compliance with company policies, procedures, and industry regulations. • Assist in preparing and submitting compliance documents, including health and safety records and quality assurance reports. • Support the preparation of regular project performance reports, including financial, operational, and risk updates. 5. Financial Administration • Assist with the management of project budgets, invoices, and expense tracking. • Support the preparation of purchase orders, payment applications, and financial documentation. • Maintain accurate records of project expenditures and assist in financial reporting. 6. Health & Safety Support • Maintain and update project health and safety documentation, including risk assessments and method statements. • Assist in the coordination of health and safety audits and inspections. • Support the Project Manager in promoting a strong health and safety culture within the project team. 7. General Support • Handle ad hoc tasks and requests from the Project Manager and project teams as needed. • Provide logistical support for project events, training sessions, and site visits. • Ensure smooth day-to-day operations by addressing administrative challenges promptly. Skills and Experience Education: • A-Level or equivalent qualifications required. A degree or certification in Business Administration, Project Management, or a related field is desirable but not essential. Experience: • Previous experience in an administrative or project support role, ideally within the construction, utilities or rail industries. • Familiarity with document control and project management processes is an advantage.
