The Company
We're Octopus Legacy: one of the fastest growing tech companies in the country, part of the UK's most exciting and best-trusted group. We have a mission to scale, aiming to become a household name while transforming a long-established industry and helping our customers prepare for, and find support after, death.
The Role
As a Probate Legal Assistant at Octopus Legacy, you'll sit at the heart of our probate team - supporting families through the practical, legal steps that follow a death, and making sure every case runs smoothly from the very first conversation. You'll work side by side with our Probate Case Managers, learning the ins and outs of probate applications and estate administration as you go. You'll be speaking to customers who are bereaved, so warmth, clarity and care matter as much as the admin itself. You don't need a legal background. If you're organised, empathetic, and genuinely good with people, we'll teach you everything you need to know about probate.
We want to be honest - it won't always be easy. You'll be speaking to people at one of the hardest moments of their lives. It takes patience, attention to detail, and the ability to stay calm and kind when things get emotional or busy. But if you find purpose in helping people when it matters most - and you like the idea of building your career in a fast-growing, supportive team - this role can be genuinely rewarding.
As part of our growing probate team, you'll join at a pivotal time, helping us shape the way we work and deliver the best possible experience for our customers. Our values are simple: Customer-First. Work hard. Stay optimistic.
Key Responsibilities
- Handle inbound & outbound calls, share updates, and support customers with warmth and confidence, especially in sensitive moments.
- Prepare correspondence, chase information, and manage legal forms accurately and on time.
- Produce documents, manage busy diaries, and keep our filing and case records organised and up to date.
- Support Case Managers across the full life of a case, helping everything run seamlessly.
- Keep customer records accurate and confidential at all times.
- Share insights and ideas to improve our processes, resources, and the overall customer experience.
- Collaborate across teams to drive efficiency and elevate service.
Who Are You?
- A compassionate communicator who builds trust easily - especially when conversations are tough.
- Organised and detail-focused, comfortable working from a task list and juggling multiple priorities.
- Customer-first, with the emotional intelligence to support people through bereavement.
- Confident with everyday tech and tools.
- A strong written and verbal communicator.
- Proactive and solutions-focused, always thinking about how to make things better.
- A team player who leads with kindness and genuinely cares about doing meaningful work.
- A legal background is a bonus, not a requirement - we'll train you on the rest.
Why You'll Love It Here
We're part of a group that believes work should mean something. You'll be trusted to do what's right, supported to grow, and encouraged to share your ideas and shape the way we work. You'll be part of a team you can truly count on - colleagues who support each other and always put customers first, every day and at every step of your journey. A fast-growing business with room to learn, grow and influence change, plus real opportunities to develop your skills and progress your career.
