Job Description
This is a fast-paced EA role providing high-level support to senior leaders within the Octopus Capital team.You'llplayan important rolein keeping the team running smoothly, with responsibility for extensive diary management, meeting arrangements and acting as a trusted point of contact for those you support. The role will involve working across all parts of the wider Octopus Group and will suit someone who is highly organised,proactiveand confident working in a deadline-driven environment, with the ability to juggle and prioritise a busy and varied workload.
The team:
Octopus Capital, part of the Octopus Group is a leading specialist real estate investor, with a team of circa 90 professionals. We provide award-winning finance for UK property investment and development.
What will you be doing?
Diary and email management: arranging and coordinating internal and external meetings often requiring proactive resolution of diary clashes. Monitoring and managing Outlook Inboxes, including prioritising between urgentissuesand responding where necessary tofacilitatethe working patterns of the senior team.
Creatinghigh-qualityPowerPoint presentations,operatingwith multiple contributorsprovidinga range of input.
Supporting the Senior Leaders in the seamless delivery and execution of theirobjectivesby taking the initiative to solve challenges and proactively making offers of help, tracking key tasks arising from meetings, taking minutes, chasing up minutes and action points.
Board support and coordination: supporting the preparation and smooth running of Board and senior-level meetings, including coordinating and collating papers from multiple contributors, ensuring materials are uploaded accurately and on time to the relevant Board portal.
Travel management: coordinating and arranging domestic and international travel, including flights, accommodation,transfersand detailed itineraries, ensuring all arrangements are organised efficiently and run smoothly.
Qualifications
Ideally,you’llhave:
- Strong MS Office PowerPoint and Excel skills. This includes formatting slides to be consistent with Octopus' brand standards and creating financial charts in Excel.
- Prior experience as an Executive Assistant to Senior Leaders/C-Suite and the discretionrequiredto support confidential projects and reports.
- The ability to solve problems, juggle several tasks at once and balance competing priorities in a fast-paced team.
- A naturally enthusiastic team player who brings great energy to those around them, takes ownership, gets stuck in, and is always willing to go the extra mile to support colleagues and deliver great outcomes.
- The ability to work collaboratively and develop relationships with multiple stakeholders, communicating progress and working with shifting deadlines.
