The Role
We’re looking for a highly organised and detail-oriented Legal Admin to support both our Legal Operations and Probate teams. This is a hands-on, operational role at the heart of how our legal work gets done. You’ll be responsible for managing high volumes of documents, correspondence, and case administration – making sure everything is accurately processed, correctly filed, and handled on time.
Key Responsibilities:
- Manage all incoming and outgoing post, including opening, scanning, separating, filing, and sending documents via tracked delivery.
- Process large volumes of legal documents such as wills, LPAs and probate paperwork, ensuring files are accurately named, saved, and uploaded to the correct systems.
- Create, organise, and maintain digital and physical case files, including setting up folders, filing hard copies, and updating records.
- Open new case files, upload documentation, rename and organise files from HubSpot, and input key information into Actionstep and other systems.
- Support teams by preparing documents, printing, collating, scanning correspondence, and assisting with ad-hoc requests.
- Assist with cheque processing, including preparing banking runs and maintaining accurate financial records.
- Maintain spreadsheets and trackers for documents, post, and case activity where required.
- Support compliance checks, ID verification, and other administrative requirements.
- Answer calls and manage emails as needed, ensuring queries are directed appropriately.
- Keep accurate records at all times, maintaining confidentiality and with high attention to detail.
Who Are You?
You have experience in an administrative or legal admin role (a start-up environment is helpful but not essential). You’re comfortable handling high volumes of detailed work while maintaining accuracy. You’re highly organised and methodical, with a strong eye for detail – small errors don’t slip past you. You’re confident using systems and software such as document management tools, CRMs, shared drives, Adobe, and spreadsheets. You manage your time well and can juggle multiple tasks in a fast-paced environment. You’re reliable, proactive, and willing to step in where needed during busy periods. You understand the importance of confidentiality and handling sensitive information with care. You’re happy in a role where the work is operational, structured, and essential to the wider team.
