The Procurement Coordinator role will provide essential support to the Procurement Transformation Team and Heads of Category Management. This role is critical in enabling strategic delivery by managing day-to-day administrative tasks, data coordination, supplier onboarding and reporting preparation. This role sits within a fast-paced environment and requires someone highly organized, proactive and able to multitask effectively.
Key tasks & Responsibilities
- Manage the procurement inbox, triaging and escalating emails as needed
- Handle routine supplier and internal queries, maintaining a log of FAQs and common resolutions
- Support internal comms (e.g. updates, change notices etc.)
- Manage onboarding queries e.g. documentation checks, Coupa intake form, unblock/close vendor requests
- Liaise with requesters and suppliers to chase missing information
- Coordinate transition of information from onboarding to relevant function
- Support data preparation for dashboards, transformation trackers and presentation decks
- Help with upload and validation tasks across Coupa, Power BI and SharePoint
- Maintain SharePoint document libraries and control versions
- Support Coupa implementation/adoption and feedback process
- Maintain action logs and follow up on outstanding items
- Track policy or process exceptions and ensure documentation is complete
- Support meeting scheduling, decks and minutes for transformation meetings
- Keep the Procurement Hub updated with PSL, relevant process documentation, templates, FAQ and other necessary information
- Organise Procurement drop-in sessions, training invites and webinar logistics
- Help issue and collate responses from internal surveys
- Support production of slide decks and update templates used across the function
Core expectations
Work with the Performance Manager and Compliance Manager to extract key procurement metrics and distribute monthly data packs for each Head of Category, tailored to their area. Keep track of data requests, reports issued and usage to ensure outputs are aligned with business need. Help category teams prepare stakeholder comms or QBR decks by inserting up-to-date statistics.
Key Skills & Experiences
Necessary
- Proven experience in an administrative or coordination role (preferably within procurement, sales or ops)
- Strong organisational skills and attention to detail
- Proficient in Microsoft Tools (PowerPoint, Word and Intermediate Level Excel)
- Comfortable working with data and dashboards (understanding of Power BI would be a plus)
- Ability to prioritise and manage multiple tasks simultaneously
- Proactive and solution focused
- Excellent verbal and written communication skills
- High level of integrity and dependability
