About The Role:
This position is office based with some remote working, however, the role holder may be required to travel to other offices and client sites as required. Core working hours for this position are from 08:00 until 16:30, however flexibility can be expected. The role involves planning & coordinating delivery of statutory and critical maintenance tasks to various clients' estates within our portfolio, overseeing to completion stage and quality controlling inspection documents and raising corrective work requests. The successful candidate will be ensuring all sites are compliant with all aspects of the contract, including Statutory Aspects and the Company logbook systems.
Brief description of the role and responsibilities:
- Run PPM tracker for statutory and update daily monitoring the progress of each ppm ensuring everything is captured.
- Demonstrate integrity and ensure compliance with all business wide policy and strategy.
- Provide the administrative guidance for the whole contract and team members in terms of compliance.
- Review and maintain incoming subcontractor and engineer certificates to ensure the correct paperwork is held.
- Ensure the achievement of agreed functional standards and service level agreement by working in collaboration with account leadership team peers.
- Liaise with engineers, subcontractors and the Helpdesk when there are errors or missing paperwork to make sure that the correct documentation is received.
- Once received and checked, ensure all relevant documentation is pushed to the repository to be held.
- Collate any additional/required works following PPM attendance to be sent to the supervisors for confirmation on whether there are remedials required.
- Raise Stat/Non-stat remedial tasks and send them to the helpdesk to notify them that the works need scheduling in with the engineers/subbies.
- Keep a tracker of STAT remedial tasks, checking daily and when remedial works are complete ensure the asset is compliant.
- Use and update the CAFM system as required.
- Monitor the progress of PPM works during the live month and report issues to the relevant helpdesk/FC/FM to rectify.
- Maintain all Statutory documentation on both the company and client CAFM systems ensuring all certification is available as required.
- Ensure clear and concise quality updates reflecting true job progression are being used.
- Manage potential contract penalties.
Customer:
- Provide reporting/updates to operational teams or others as necessary to demonstrate the fulfilment of contract requirements.
- Ensure client and internal systems are updated within set timescales throughout the life of the job.
- Respond to all customer chases/escalations within internal SLAs.
- Closing of tasks appropriately.
Planning & Organising:
- Produce relevant information and updates required for inclusion in client/contract reports.
- Manage internal email mailboxes within SLA.
- Manage all Statutory scheduling via the HD and direct with any specialist contractor.
Commercial / Financial:
- Mitigate risk against performance penalties for failures by ensuring all tasks are updated timely, and in line with contractual requirements.
- Manage specific tasks in line with SLAs/KPIs in order to reduce financial penalties.
Team:
- Work together with wider HNLR teams including Facility Managers, Engineers, Engineering Supervisors, Managers and Directors in order to achieve collaboratively.
- Support Account Manager and Director with updates as and when required.
- Work closely with commercial admin team in order to speed up the job lifecycle.
Experience and Qualifications:
- Experience of working within Facilities Management is advantageous.
- Knowledge and Understanding of Statutory Compliance.
- Knowledge and understanding of SFG20.
- Administrative experience essential.
- Good understanding and experience of Microsoft Office, especially Excel, software packages and general IT knowledge.
Personal Attributes:
- Experience in using CAFM or other management systems.
- Self-motivated and enthusiastic.
- Excellent & articulate communication skills.
- Organisation and time management.
- Ability to work under pressure and to tight deadlines.
- Demonstrate good team working ability.
