About The Role:
This role is a home based position however there will be travel requirements across different sites and therefore we require the successful candidate to live in the West Midlands/Nottinghamshire/Leicestershire region. The Contract Coordinator/Facilitator provides essential operational, administrative, and analytical support to the Operational Leadership Team in the delivery of a national cleaning and security contract across client sites. The role ensures strong performance reporting, smooth communication with site teams, efficient processes, and proactive follow-up on outstanding actions. While not responsible for full operational leadership, the postholder is a key enabler of contract success and continuous improvement.
Operational Support
- Support the Operational Leadership Team by coordinating day‑to‑day contract activity across all service lines.
- Follow up with Site Managers to ensure tasks, audits, compliance checks, and corrective actions are completed on time.
- Assist with maintaining operational standards aligned to KPIs and SLAs.
- Support the review and updating of processes and procedures with Service Leads.
- Coordinate site visits, reviews, and operational meetings.
- Provide general contract administration including action logs, documentation control, and risk registers.
Data, Analysis & Reporting
- Collect, validate, and prepare data for monthly KPI reporting and dashboards.
- Prepare structured datasets ready for Power BI visualisation.
- Analyse data to identify trends, risks, and recurring issues.
- Support the Operational Leadership Team with monthly reports and summaries.
Client & Stakeholder Coordination
- Provide supporting contact for client stakeholders across all locations.
- Attend client calls and meetings when required, issuing notes and action points.
- Ensure communication flows effectively between client teams and site management.
People & Site Support (Non-line management)
- Support recruitment administration and onboarding coordination.
- Monitor site staffing levels, identifying gaps or risks.
- Assist payroll checks, timesheet validation, and rota administration.
- Coordinate training schedules and compliance document reminders.
Compliance & Quality Assurance
- Track audits, inspections, H&S documentation and compliance tasks.
- Assist with incident reporting and follow-up actions.
- Maintain compliance logs and ensure accurate document storage.
- Support quality improvement initiatives and raise operational risks.
The successful candidate will have:
- Experience supporting operations within cleaning, security, or FM.
- Strong organisational and coordination skills.
- Good data analysis capability and experience preparing datasets for Power BI.
- Experience supporting multi-site teams and management.
- Confident communication and relationship-building skills.
- Understanding of KPIs, SLAs, and contract performance.
- Professional presentation and customer-focused approach.
- Experience with CAFM/helpdesk systems is preferred not essential.
- Basic financial awareness.
- HR/Payroll support experience is preferred not essential.
- FM, retail property, or soft services background is preferred not essential.
