Purpose of the Job

To be the first point of client contact on day to day matters and amongst others will be responsible for legal and corporate governance issues for a dedicated clients portfolio.

Main Responsibilities

  • Preparation of board packs, coordination of board and shareholder meetings
  • Liaising with internal parties and also authorities, notaries, lawyers and any other external parties
  • Organizing board meetings and drafting board minutes and resolutions with support of the manager
  • Attendance at client board meetings and preparation of minutes
  • Provide assistance in the context of constituting new entities and liquidations
  • Collecting the signatures of documents and maintaining the files of client companies in accordance with the procedures
  • Following-up the day-to-day recurrent operations, client requests and attending the periodic clients’ calls
  • Using the internal tools and complying with Ocorian policies and procedures at all times
  • Ensuring compliance with regulatory requirements
  • Assisting the manager, providing daily support as requested

Qualifications

  • Bachelor's degree in law/business administration (at least) and/or experience as senior corporate officer/senior corporate secretary / any other training certifications in the legal field will be a strong advantage in your application.
  • Fluency in English (written and oral), with any other language being considered as an advantage
  • 3+ years of experience in the same field
  • The ability to work under a certain level of pressure and meet deadlines
  • Strong organisational and time management qualifications, attention to details and ability to work methodically and accurately
  • Flexibility, energy and enthusiasm
  • Team spirit

Knowledge, Skills & Experience

  • Professional manner, demonstrating excellent interpersonal skills and the ability to communicate effectively with clients and colleagues at all levels
  • Understanding and technical knowledge of funds’ administration
  • Strong interest in financial services/working within a regulated environment
  • AML knowledge will be an advantage
  • Strong IT skills
  • Ability to draft legal documents
  • Ability to take responsibility for the completion of tasks while staying alert to potential issues that need to be disclosed to the supervisor
  • Diligence and care in all aspects of the job, in particular with regard to client data and the maintenance of records
  • Problem solving – being able to review the situation and determine an alternative course of action to achieve the desired goal
