Background: Established in December 2018, Ophthalmic Consultants of London (OCL) was formed from the merger of 3 highly successful, world recognised eye surgeons offering our patients premium vision correction. We offer specialist consultations, diagnostics, laser eye surgery and lens surgical treatments from our flagship clinic in Central London as well as clinics in the surrounding areas and Hertfordshire. As Patient Co-ordinator you are a key member of the team with responsibility for making the patients vision correction journey a first-class experience. You will act as a support to our OCL consultant and provide a high standard of service to our patient by coordinating surgery and follow up bookings, managing the consultant diary for both consultations and surgeries along with other secretarial administration duties.

Key Responsibilities:

  • Demonstrate our core OCL values of trust, teamwork and excellence.
  • Deliver an exceptional customer service to our patients and counsel them for surgery by providing clear, concise details about manage expectations.
  • Drive surgery bookings to meet targets.
  • Support our consultants administrational needs.
  • Manage all bookings/clinical diary in accordance with company procedures.
  • Liaise with patients using their preferred method of communication (phone, email, text, Intercom) prior to tests and investigations to inform them of all necessary requirements.
  • Act as a point of contact for patients, their families and carers and help with any questions or concerns they have about their care.
  • Maintain accurate patient records and up to date information on the company IT systems (Medisight and Compucare).
  • Manage patient queries, ensuring accurate and timely responses are provided.
  • Maintain optimum knowledge on procedures performed, price agreements and billing methods.
  • Book patients for surgery in line with clinic guidelines, generate confirmation letters and a surgery pack either by email or post.
  • Actively encourage patients to provide written feedback testimonials on the company review sites. (Trust pilot, google, social media)
  • Cover the office phone calls as required and answer calls in a friendly professional manner.
  • Perform any other duties as requested from time to time commensurate with this role.

Person Specification

Essential Criteria

  • GCSE's in English Language and Mathematics (or equivalent).
  • Proficient computer skills, including Microsoft Office packages.
  • Strong organisational skills with the ability to prioritise workloads to meet competing deadlines.
  • Previous Experience of working in an eye related organisation.
  • Excellent attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to maintain strict confidentiality in all aspects of company and patient information.
  • Flexible approach and ability to multi-task with strong attention to detail.
  • Strong judgment, decision-making and problem-solving skills.
  • Energetic and self-disciplined with a passion for excellent customer service.
  • A confident team player that demonstrates strict adherence to processes and protocols.
  • Positive attitude with a drive to meet targets.
