The Role

This is a key front-of-house role sitting at the heart of a busy law firm. As the first point of contact for clients, colleagues and external parties, you'll set the tone for every interaction whether in person, by phone or in writing. Beyond reception duties, you'll play an important coordination role, managing the allocation of incoming emails and post across the firm and ensuring everything reaches the right person promptly and efficiently.

Key Responsibilities

  • Manage the firm's main reception area, greeting clients and visitors in a professional and welcoming manner.
  • Answer and direct incoming telephone calls promptly and efficiently.
  • Allocate and distribute incoming emails to the correct fee earners and departments.
  • Sort, log and distribute incoming post across the firm on a daily basis.
  • Manage outgoing post and courier requirements.
  • Coordinate meeting room bookings and ensure meeting areas are prepared for client visits.
  • Support fee earners and support staff with diary management and appointment scheduling.
  • Handle client queries at reception and direct them to the appropriate team member.
  • Maintain a tidy and professional reception area at all times.
  • Provide general administrative support to the wider team as required.

What You'll Need

Essential:

  • Previous experience in a receptionist or front-of-house role, ideally within a legal or professional services environment.
  • Confident and professional telephone manner with excellent verbal communication skills.
  • Experience managing and allocating high volumes of incoming emails and post.
  • Strong organisational skills with excellent attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to manage competing priorities calmly and efficiently in a busy environment.
  • A polished, professional presentation and a genuine commitment to delivering excellent client service.
  • Right to work in the UK and ability to work on-site in Belfast city centre.
