Ocho is delighted to be recruiting for an experienced Legal Secretary to join our clients busy Conveyancing department, based at their Belfast office. This is a varied and fast-paced role providing high-quality secretarial and administrative support to fee earners across a range of residential and commercial property transactions in Northern Ireland. The successful candidate will play a key role in ensuring the smooth running of the department and delivering an exceptional client experience.

Key Responsibilities

  • Providing full secretarial support to fee earners, including audio and copy typing of legal documents, correspondence, and contracts.
  • Preparing and drafting standard conveyancing documents including contracts, transfer deeds, completion statements, Land Registry applications, and mortgage documentation.
  • Managing the conveyancing process from instruction through to completion, ensuring all key milestones and deadlines are met.
  • Liaising with clients, solicitors, estate agents, mortgage lenders, and Land Registry Northern Ireland on a daily basis.
  • Opening, managing, and closing client files in accordance with firm procedures and compliance requirements.
  • Managing fee earner diaries, scheduling appointments, and handling client queries professionally and efficiently.
  • Maintaining accurate and up to date file management using case management software.
  • Dealing with incoming and outgoing post, emails, and telephone calls.
  • Supporting the wider legal team with general administrative duties as required.

Essential Criteria

  • Minimum of 2 years' experience as a Legal Secretary, ideally within a conveyancing or property department.
  • Strong knowledge of the residential conveyancing process in Northern Ireland.
  • Excellent audio typing and copy typing skills with a high level of accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organisational skills with the ability to manage a busy workload and meet deadlines.
  • Excellent written and verbal communication skills.
  • High level of attention to detail.
  • Ability to work both independently and as part of a team.

Desirable Criteria

  • Experience using legal case management software (e.g. Keyhouse, Solicitor's Own Software or similar).
  • Knowledge of commercial conveyancing in addition to residential.
  • ILEX qualification or equivalent legal secretarial qualification.
  • Experience dealing with Land Registry Northern Ireland and associated documentation.
