Role Description
Sales and Operations Coordinator (Mat Cover) – up to 12 months, Aberdeen. Reporting to the General Manager, the Sales and Operations Coordinator supports the sales and operations teams in meeting customer requirements while managing the organisation’s risk exposure in line with strategic and financial constraints. The role prioritises building strong relationships with customers and suppliers.
Responsibilities
- Maintain records of lost, damaged, and missing equipment from contracts, ensuring invoices are submitted to the customer within the same calendar month.
- Quote customers for rentals and sales, following up on enquiries.
- Liaise with other bases to ensure equipment requirements are met.
- Support the sales team with day‑to‑day tasks.
- Raise purchase orders / X‑hire purchase orders based on directions via email from members of the sales team.
- Raise proforma invoices and POs.
- Promote the company’s rental, sales, and associated services, including Subsea & Offshore, Subsea Inspection, Topsider, and NDT Inspection.
- Arrange quotations for equipment calibration and repairs, recording details in the billing system.
- Input customer service and calibration orders into the internal system.
- Maintain the ERP system at all times.
- Provide weekly reports to the General Manager.
- Cover annual leave for other parts of the operations and sales teams.
- Support the logistics team.
- Support the engineering team.
- Prepare monthly maintenance reports.
Qualifications
- Minimum of one year in a busy office environment.
- Experience in a sales or rental department is an advantage.
- Ability to work well under pressure, manage workload, and meet deadlines with excellent organisational skills.
- Developed skills in the Microsoft Office suite and strong communication and customer service skills.
