Duties And Responsibilities
The primary responsibility of the Planning Coordinator is to coordinate all activities related to repair and maintenance within the workshop. Ensuring that critical interfaces between business segments and functions are effectively developed and maintained. By fostering strong working relationships across these key areas, the Planning Coordinator aims to provide efficient and cost‑effective support to all stakeholders. The position involves close collaboration with various departments to streamline processes, mitigate potential disruptions, and enhance overall operational efficiency, thereby contributing to the smooth and successful execution of workshop activities.
- Attend Project kick‑off meetings to ensure workshop input criteria is fully understood and met.
- Monitor & manage Service Request Inbox in conjunction with Production Manager, Technical Specialist & Service Excellence Groups.
- Review Service Request scope of work accuracy prior to creation of work order & or PID.
- Create, maintain, monitor & manage work order & or PID flow for all workshop activity through the following – Process technical work scope via initial Service Request including but not limited to cost, time, resources & parts/materials.
- Daily maintenance of work orders & PIDs.
- Identify and provide all applicable documentation relevant to work scope.
- Assist Production Manager with additional work order / PID requirements.
- Work with Technical Specialist to create, maintain & monitor asset maintenance task templates.
- Ensure all initial known parts & materials from task template/service request are added to work order / PID.
- Support Junior Planning Coordinator in monitoring and managing part and non‑part numbered parts.
- Monitor & manage workscope variation requests via the Request Form process.
- Manage all 3rd party requirements associated with WO / PID activity.
- Identify areas of technical or procurement risk and/or schedule conflict to Production Manager and Master Scheduler in a timely manner.
- Provide solutions to minimize critical path delays.
- Managing material coordination by ensuring the timely availability of equipment, parts, and consumables to align with the “clean to start” methodology.
- Develop product knowledge of parts and materials associated with items used on ROV system and associated tooling.
- Participate in all HSEQ initiatives.
- Participate in daily workshop meetings (toolbox talks, safety stand‑downs etc.) Where appropriate raise non‑conformance reports to follow up discrepancies found within processes.
- Develop product knowledge of assigned items and commodities.
- Champion continuous improvement for the purpose of refining relevant processes.
- Promote and encourage communication between all stakeholders.

Ensure that the Safety policies and procedures are understood and adhered to as far as is reasonably practicable in order to ensure a safe working environment.
Other
Carry out work in accordance with the Company Health, Safety, Environmental and Quality Systems. Perform the assigned tasks with due diligence regarding the Integrated Management Systems on the Company. Eliminate waste of whatever form, to suggest the use of more environmentally friendly substances and practices and contribute to the continuous improvement of the environment.

Qualifications
REQUIRED
- Knowledge of ROV systems and tooling maintenance regimes.
- Strong demonstrated critical thinking and logic skills with proven track record of success in a complex production and assembly LEAN environment.
- Demonstrable knowledge of the following gained through APM PMQ certification or higher- project planning resource planning risk management managing stakeholder conflict.
- Excellent negotiating, communication (verbal and written) and organizational skills.
- Handling of multiple tasks and responsibilities in an effective and efficient manner.
- Finding solutions to facilitate continuous improvement.
DESIRED
- Knowledge of 6S and lean principals.
- Strong written and oral communication skills.
