Overview
We are seeking a highly organised and proactive Customer Service & Order Processing Administrator to join our team in Wembley. This is a fast-paced, collaborative role where you will play a key part in ensuring customer orders are processed efficiently and accurately, while maintaining high service standards. You will work closely with internal departments including Sales, Warehouse, Purchasing, Logistics, and Accounts, acting as a central point of contact for both customers and colleagues.
Responsibilities
- Accurately process customer sales orders using the NAV system
- Review and release orders through internal dashboards in a timely manner
- Liaise with Warehouse and Purchasing teams regarding stock availability, shortages, and ETAs
- Communicate order updates, delays, and resolutions to customers and sales teams
- Manage returns and credit note requests, ensuring all documentation is complete
- Investigate customer claims, including reviewing proof of delivery and following internal procedures
- Coordinate uplift collections with Logistics where required
- Handle daily incoming calls and email enquiries professionally and efficiently
- Triage and direct queries to the appropriate departments
- Process new account applications and forward to Accounts Receivable
- Maintain accurate records, including scanning and filing proof of deliveries (PODs)
- Use internal systems such as Procure Wizard and Sana to manage tasks
- Produce daily service level reports and weekly credit and sales reports
- Monitor short-dated and slow-moving stock and communicate issues internally
- Support stock management processes including segregation or disposal where required
Qualifications & Experience
- Fluent in written/verbal Italian and English language - essential
- Previous experience in a customer service, order processing, or administrative role
- Strong attention to detail and a high level of accuracy
- Excellent communication and interpersonal skills
- Ability to prioritise and manage a high-volume workload
- Strong problem-solving skills and a proactive mindset
- Experience working with ERP systems (e.g. NAV) is advantageous
- Proficiency in Microsoft Office, particularly Excel
- Ability to work independently and as part of a team
