The Clinic Receptionist & Coordinator plays a key role in the day-to-day running and commercial performance of clinic operations within the Latus Group. Based in Hull, this role is responsible for supporting clinic activity, patient experience, and revenue generation across both Hull and Immingham sites. The postholder will act as the central point of contact for clinic activity, ensuring appointments are effectively managed, patients receive a professional and welcoming experience, and clinic performance is optimised. There will also be a requirement to travel to Immingham to provide cover for absence and annual leave. This is a hands-on, clinic-focused role with accountability for supporting clinic utilisation, billing, and overall performance.

Key Responsibilities

  • Provide a professional front-of-house service, greeting clients and employees attending clinic appointments.
  • Manage clinic reception duties including patient check-in, documentation handling, and general enquiries.
  • Prepare clinic files and documentation ahead of appointments.
  • Support clinicians during clinic days, including doctors and technicians.
  • Ensure all post-appointment documentation is completed, filed, and distributed correctly (e.g. certificates).
  • Schedule clinic appointments, ensuring efficient use of clinic capacity.
  • Manage incoming calls and emails, responding in a timely and professional manner.
  • Support the smooth coordination of daily clinic activity.
  • Assist the Hull booking team with health surveillance technician bookings when required.
  • Take payments for clinic services and ensure accurate processing.
  • Support clinic billing processes and ensure all services are captured correctly.
  • Take an active role in monitoring clinic utilisation and identifying opportunities to improve performance.
  • Assist with forecasting clinic activity and supporting forward planning of bookings and revenue.
  • Contribute to the overall commercial success of clinics through proactive coordination and organisation.
  • Support the sales team with clinic-based opportunities, including promoting additional services where appropriate.
  • Help maximise clinic revenue by ensuring appointment slots are utilised effectively.

Flexibility & Cross-Support

  • Provide reception and operational support at the Immingham clinic to cover absence and annual leave.
  • Be fully trained in scheduling processes across the business to provide additional support where required.
  • Adapt to business needs, supporting both clinic and scheduling functions during peak periods.

Accountability

  • Take ownership of clinic coordination across Hull and Immingham.
  • Support the performance, utilisation, and organisation of current and future clinic sites.
  • Ensure high standards of service delivery and patient experience at all times.

Skills and Experience Required

  • Previous experience in a reception, administrative, or customer-facing role.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Confident and professional communication skills.
  • Ability to work in a fast-paced, client-facing environment.
  • Commercial awareness with an understanding of revenue and performance drivers.
  • Strong attention to detail and accountability for tasks.
  • Good IT skills and general computer literacy.
  • A proactive, flexible, and hands-on approach.
  • Ability to work both independently and as part of a team.
  • Full UK driving licence and access to own transport (essential).
