We are seeking an exceptional Operations Associate to join our STRAT7 Incite Health team in London. The role will coordinate diverse, client-facing projects across qualitative, quantitative and secondary research methodologies for pharmaceutical, medical device and medical technology companies. You'll bring foundational experience managing fieldwork or acting as project manager for healthcare research projects, combined with strong organisational skills, meticulous attention to detail, and a can-do attitude. You will be fully integrated into account and project teams, providing mechanics support and administrative input whilst supporting compliance and contractual obligations. This is a core role spanning proposal, project and client account work.

KEY RESPONSIBILITIES

  • On projects, end-to-end support will be offered with set up, project coordination and fieldwork management, analysis management and project close. Main specifics include:
    • Project set up and coordination: setting up client and partner SOWs, managing and updating our internal systems with key project information, organising internal/external meetings as appropriate, drafting weekly updates and/or attend weekly calls with client.
    • Research set up: drafting screeners, consents, writing discussion guide and other templates, setting up research platforms (e.g. online forums/other).
    • Fieldwork: liaison with and management of all third parties, monitoring recruitment and fieldwork progress and implementing remedial actions as required.
    • Compliance: liaising with client PV department as required, sourcing and supplying PV training, overseeing and monitoring AE reporting, managing client compliance platforms.
    • Budget management: monitoring project spend/budgeting across the project life cycle and communicating relevant information to accounts (PO, invoicing schedule).
    • Project close: scheduling project close meetings/closing out the project with relevant parties.
  • On proposals, support will include:
    • Creating proposal costings (drafting specifications, liaising with suppliers, compiling internal costs/updating client cost sheets and platforms).
    • Creating proposal slides: sample, methodology, therapy area expertise, costs, timings, data etc.
    • Inputting information into client-specific templates or platforms (e.g. costing templates etc) - as required.

SKILLS & ATTRIBUTES

  • Proven experience managing quantitative and/or qualitative fieldwork or acting as a project manager within healthcare/pharmaceutical market research.
  • Excellent written and verbal communication skills, with ability to engage confidently with clients, colleagues, fieldwork partners and research participants.
  • Meticulous attention to detail with a consistent, accurate approach to work.
  • Highly organised with the ability to coordinate multiple workstreams and prioritise effectively.
  • Proactive and solution-focused mindset; takes ownership of tasks and approaches challenges pragmatically.
  • Strong collaborative approach; works effectively as part of a team and demonstrates flexibility in supporting broader priorities.
  • Ability to remain calm and composed under pressure, with sound judgement in seeking support when required.
  • Empathetic approach to stakeholder engagement across all backgrounds and professional contexts.
  • Proficient in Microsoft Office applications (Word, PowerPoint, Excel).
