We are seeking a motivated individual to provide invoicing and administrative support to the operational depot, ensure compliance with health and safety policies, and deliver high levels of customer service and professional administration to support the business operations.
Responsibilities
- Provide invoicing and administrative support to the operational depot.
- Review and process invoices from site deliveries; verify accuracy against service contracts and purchase orders.
- Input invoice data into the accounting system; prepare and send out customer returns; monitor and follow up on outstanding invoices.
- Maintain organised records of invoices and payments; assist in generating financial reports related to invoicing.
- Communicate with customers and internal departments regarding invoicing queries.
- Provide day-to-day administration tasks: answer inbound calls and emails, generate quotations and manage them through to order stage; handle complaints and resolve them accordingly.
- Ensure customer confidentiality within all tasks and assist with month-end tasks within the division timescales.
- Coordinate with all sections of the business to meet tasks, deadlines, and customer SLAs & KPIs; take ownership of customer calls and orders; distribute to relevant sections as required.
- Proactively manage time and activities to ensure efficiency and output; maintain safety practices under the Group's H&S policy.
Qualifications
- GCSEs/A-levels or equivalent; relevant admin, finance or customer service experience.
- Proactive, professional, and customer-focused; able to take ownership of tasks, communicate clearly, and work well under pressure while meeting deadlines.
- Strong administration and invoicing skills; good written and verbal communication; confident using in-house systems, databases, and standard IT packages (e.g., Microsoft Office).
- Accuracy is essential when processing invoices, checking documents, resolving discrepancies, and completing month-end tasks.
- Experience in administration, customer service or invoicing.
