Plant Administrator

Reporting to: Plant & Transport Manager Location: Office-based | Monday–Friday| 9:00am – 5:00pm

The Opportunity

This is an excellent opportunity for a proactive and organised administrator to join a busy Plant and Transport team supporting a large operational fleet and a growing plant division.

Working closely with the Plant & Transport leadership team, you will play a key role in ensuring the smooth running of plant operations across multiple depots.

The position offers exposure to modern plant technology, telematics systems, fleet compliance processes and operational reporting, making it an ideal role for someone who enjoys working with data, systems and operational teams.

You’ll become a central point of coordination between depots, suppliers, OEM partners and internal departments, helping ensure equipment is monitored, compliant and performing efficiently across the business.

This is a role with genuine long-term development potential, offering the chance to build knowledge of plant operations, fleet management and operational analytics.

Key Responsibilities

  • Operational Support
  • Provide administrative support to the Plant & Transport department, assisting with the coordination of plant operations across multiple depots.
  • Generate, review and maintain key operational reports relating to plant utilisation, performance and transport activity.
  • Compile the monthly Statistics Analysis Report for inclusion in the company’s operational reporting pack.
  • Update and maintain internal systems including the Rental Management System and company intranet.
  • Telematics & Plant Monitoring
  • Monitor OEM telematics systems and diagnostic platforms across a fleet of plant equipment.
  • Review equipment data including hours, utilisation and alerts to identify trends or potential issues.
  • Investigate telematics alerts and communicate findings to depots, supporting them in resolving potential issues proactively.
  • Work closely with OEM partners to interpret diagnostic information and ensure optimal equipment performance.
  • Data & Reporting
  • Analyse operational data using internal databases and Excel to produce reports and insights for internal teams and occasionally for customers.
  • Support requests for operational or environmental reporting such as utilisation or carbon usage metrics.
  • Identify trends or recurring issues in plant performance and communicate insights to management teams.
  • Compliance & Inspections
  • Coordinate external insurance inspections across the fleet to ensure all legal obligations and compliance requirements are met.
  • Act as the key liaison between depots and third-party inspection providers to arrange, track and follow up on inspections.
  • Distribute inspection reports and ensure any required actions are communicated and completed.
  • Security & Asset Management
  • Oversee the management of plant security and tracking devices.
  • Ensure devices are installed, maintained and recorded correctly to meet contractual and insurance requirements.
  • Liaise with suppliers and depots regarding installation, maintenance or replacement of tracking equipment.
  • Operational Coordination
  • Attend operational and supplier meetings, taking minutes and tracking follow-up actions.
  • Act as a key communication link between depots, IT teams, suppliers and the Plant & Transport management team.
  • Support vehicle and plant transfers, ensuring records, keys, photographs and system updates are completed accurately.
