Our busy school office needs a new receptionist/administrative assistant whose main responsibility will be to facilitate good communication between the school, parents, visitors, outside agencies and others. This is a permanent role of 7 hours, spread across two mornings (Monday 09:00‑12:30 and Friday 09:00‑12:30), job sharing with an existing Administrative Assistant. The successful applicant will be directly supported and line‑managed by the Office Manager.
Qualifications
- Very strong interpersonal and communication skills as the first point of contact for visitors and parents
- Experience working as part of a team
- Experience using a range of computer applications/School Management Information Systems in addition to Microsoft Applications
- High standard of reading and writing in English
- Ability to prioritise work and exercise own initiative
Responsibilities
- Basic administration tasks: photocopying, diary management, ordering stationery and office supplies, typing correspondence, filing, simple data entry and record keeping, taking messages, and passing on information to relevant parties.
- Front‑of‑house duties: answering phone calls and emails, speaking to staff, families and children.
- Work from instructions and undertake routine tasks; interpret information and provide straightforward problem solving for basic telephone queries, with complex issues referred to a supervisor/manager.
- Exchange information orally and in writing with a range of audiences, including suppliers, staff, parents, governors, visitors and pupils & families (e.g., writing letters regarding school trips/events, sharing attendance information).
- Handle small amounts of cash, process cheques, invoices and monitor budgets where appropriate.
- Take minutes of internal meetings occasionally.
- Use analytical and judgemental skills to direct parents with problems/queries to the appropriate person and organise the headteacher’s diary to prevent appointment clashes.
- Assist in the induction of new employees.
- Support the handover of relevant paperwork and documentation to contractors working on site.
