Working closely with the Head of Organisational Development, Learning and Performance Partners, and the wider HR team, you will play a central role in creating an outstanding learning experience across the organisation. You will take ownership of the Learning Management System (LMS), ensuring training records are accurate, reports are insightful (including contributions to the HR monthly scorecard), and OD communications and learning campaigns reach the right people at the right time. This role will be based at our Swindon Head Office, with the flexibility of hybrid working (2 days in the office, 3 from home). You will support the design and preparation of workshops and the corporate induction programme, manage the OD inbox and Google account, and champion continuous improvement by helping streamline processes, enhance content, and improve the overall learner experience. This role is operational at its core but offers variety, requiring a mix of administrative precision, stakeholder engagement, and creative input to support learning initiatives across the organisation.

Key Responsibilities

  • LMS Administration: Take ownership of the LMS, managing user accounts, roles, permissions, course structures, enrolments, and learning paths.
  • Reporting & Compliance: Deliver timely and insightful L&D reports. Build and maintain dashboards and data extracts for HR, compliance, and people managers. Audit training data, resolve discrepancies, and maintain clear audit trails to ensure compliance and data integrity.
  • Communications & Engagement: Drive awareness and uptake of learning initiatives through engaging communications, including course launches, newsletters, updates, and LMS announcements.
  • Workshop & Learning Support: Prepare high-quality workshop materials and participant packs, including slides, handouts, facilitator notes, pre‑reads, and evaluations. Support facilitators with logistics and setup, and, where appropriate, co‑deliver or facilitate smaller sessions. Gather and analyse post‑session feedback to produce actionable evaluation summaries.
  • Induction & Onboarding: Oversee induction completions and follow‑ups, tracking outstanding tasks and sending reminders.
  • Queries & Guidance: Act as the first point of contact for OD queries, triaging, resolving, or escalating as needed.
  • Data Management & GDPR: Ensure GDPR compliance across all learning data collection, storage, and retention processes. Maintain accurate records and manage the OD Google account (Drive, Sheets, Slides), including permissions, folder structure, and backups.
  • Continuous Improvement & Projects: Identify opportunities to improve LMS processes and OD operations.
  • General Administration: Provide efficient administrative support to the OD function.

Skills and Experience

  • Experience administering an LMS and maintaining accurate training records.
  • Skilled in reporting and data management, including Excel and data extracts.
  • Confident with Google Workspace (Drive, Sheets, Forms, Slides) or similar tools.
  • Experienced in preparing learning materials, workshops, and managing event logistics.
  • Excellent written and verbal communication, able to draft clear guidance and updates.
  • Knowledge of GDPR and best practice in data protection and records management.
  • Highly organised, detail‑oriented, and able to manage multiple tasks and stakeholders.
  • Proactive, customer‑focused, and professional, contributing positively to the learning culture.
