The role of Transport Administrator

  • Keeping the Fleet Management System (FMS) up-to-date with all necessary paperwork
  • Booking vehicles for Planned Maintenance Inspections, services, and repairs, ensuring compliance with legal timescales
  • Collecting and recording information from drivers and suppliers to maintain accurate records
  • Ensuring each driver and vehicle is equipped with the necessary gear and PPE, performing regular checks
  • Ordering equipment and PPE for drivers and vehicles
  • Ensuring all road tax is purchased for each vehicle
  • Monitoring and purchasing fuel, including allocating and loading fuel for drivers and trucks
  • Organising driver inductions at terminals
  • Monitoring supplies in depots and arranging timely deliveries
  • Assisting in all areas of transport operations

The ideal Transport Administrator

  • Valid driving licence required
  • Prior experience in a Transport Admin or Coordinator position
  • Strong organisational skills with keen attention to detail
  • Excellent communication skills to liaise with drivers and suppliers
  • Able to work effectively in a team
  • Proficient in IT systems and software, particularly for record-keeping
