The position of Live-in Residence Hall Administrator - Upperclass focus is a part-time, live-in position based in a central London residence hall, home to Upperclass NYU London students who are studying away in London, typically for one semester. This position will focus on in-building community development, creating and driving programming for students that meet Residence Life, Student Life, and NYU London co-curricular goals. They will also co-advise a residence hall council, composed of students in the assigned building with a focus on community development. The incumbent will serve as a first-line responder to NYU London’s overnight on-call duty phone on a regular, rotational basis.

NYU London’s working hours are typically between 10am-6pm from Monday to Friday; however, the incumbent is required to maintain flexible working hours and respond to a 24/7 duty phone as part of an on-call rotation shared within the NYU London Student Life department. As such, this position is expected to maintain 14 hours per week of scheduled work time as follows: 8 hours per week (spread across a minimum of 3 days) of regular office hours during the 10-6 weekday time frame in alignment with manager approval. 6 hours per week (spread across a minimum of 3 days) should be maintained regularly on weekday evenings between 6pm - 9pm during term time for in-building student programming, hall council work, building walks, and other evening activities in the residence halls. The remaining 3.5 hours per week shall be spread across the on-call period, with some weeks having no on-call responsibilities and some weeks having significant responsibilities. Outside of term time, this schedule may be adjusted.

This role’s primary working location shall be their assigned residence hall with regular visits to the NYU London Academic Center for team meetings and general business. During the on-call period, the incumbent is expected to maintain flexibility for travelling to students experiencing urgencies and emergencies across all NYU London residence hall locations, local medical facilities, or other reasonable locations. This position reports to the Residence Life Coordinator - Upper Class Focus and has no supervisory responsibility of professional staff.

Principal Accountabilities:

  • 50% Community Development
    • Planning, organising and delivering an intentional programme of events within the residence hall, aimed at community building and in keeping with NYU London’s goal of delivering an enriching, cross-curricular education.
    • Co-advising a Hall Council consisting of elected NYU London student leaders.
    • Leading welcome programming during the check-in process, including a local area tour and welcome social on arrival day.
    • Leading mediation sessions between roommates experiencing interpersonal conflict.
    • Hosting weekly drop-in sessions where students can meet and interact.
    • Writing and distributing a weekly newsletter to NYU London students featuring important updates from the residence hall and wider NYU London community.
    • Completing regular building walks to create visibility, maintain building standards, and to address resident needs and concerns.
    • Organising and attending BASE meetings with newly arrived First Year students and flagging any concerns with NYU London staff.
    • Managing a programming budget, tracking expenditures, submitting receipts or expense reports.
  • 30% Emergency Response
    • Holding an on-call duty phone as part of departmental rota and responding to urgent student enquiries outside of working hours. This includes travel to all NYU London residence hall locations, local medical facilities, or other necessary locations during the on-call period.
    • Escalating serious incidents to the Student Life manager on call and Associate Dean of Student Life as necessary.
    • Providing accurate and timely incident reports and following up with students as required.
    • Safeguarding responsibilities, welfare checks, mental-health follow-ups.
    • Handling of sensitive student information.
    • Collaborating with residence hall 3rd party provider as needed.
  • 10% Administration within the Residence Life department
    • Responding to enquiries from students and staff verbally and via email.
    • Carrying out room inspections to ensure residents are abiding by NYU London’s housing policies.
    • Conducting building walks for resident engagement and general student support.
    • Conducting friendly visits to student residents at the direction of leadership.
    • Attending team wide, departmental, and all staff meetings.
    • Providing support to other teams within the Student Life department during peak periods of the semester, including orientation and student arrivals and departures.
  • 10% Other Duties
    • This position serves as a critical team member in the Student Life department as a whole. As such, a general attitude of a team approach to the work is critical. Duties not described above may be assigned to meet business needs.
    • Providing support to other teams within the Student Life department during high performance and peak periods of the semester, such as orientations, student arrivals, key events, or student departures.
    • Completing other duties as assigned by the Student Life Managers, Associate Dean of Students, or Deputy Site Director.
    • Working non-traditional hours, including evenings, weekends, and bank holidays, as required.
    • Being available and on-call to provide support during urgent situations or emergencies, ensuring the safety and well-being of residents and staff.

Qualifications & Experience

Required Education
Educated to degree level.

Required Experience
Experience working in a busy office or university environment.
Experience handling difficult conversations and resolving them professionally and expediently.
Experience planning or managing events.

Required Knowledge, Skills and Abilities
Clear understanding of the challenges young adults may face at university, and of the potential difficulties that might arise while living abroad.
Passionate about providing accurate information and caring support to people while they may be feeling vulnerable.
Excellent interpersonal and written communication skills and the ability to converse with a diverse range of people.

Additional Information
This is a part-time live-in position based in one of NYU London’s residence halls. During on-call periods, this team member must sleep on-site and remain within 30 minutes of Central London. This position leads as a highly visible representative of NYU London Student Life, promoting pro-social engagement and serving as a first-line resource for students in the residence halls. Simultaneously, the incumbent will have the opportunity to set personal boundaries regarding their living space and when / where to be available for student residents. This position is not eligible for TOIL for on-call rotational duties as that time is accounted for in the hours expectations of the role. This position remains eligible for TOIL for other duties as assigned. Candidates must have the unrestricted right to work and live in the UK prior to appointment.
