Overview
NXT Recruitment is working in partnership with a specialist engineering business to recruit an Administration Assistant to support a major project based at Sellafield. This is an excellent opportunity to join a busy project team, providing essential administrative support to ensure the smooth coordination of training, compliance, documentation, and day-to-day project administration. The successful candidate will play a vital role in maintaining accurate records, supporting project managers, and ensuring compliance with site and regulatory requirements. This position would suit an organised and proactive administrator who thrives in a structured environment and enjoys supporting multiple stakeholders across a large-scale project.
Key Responsibilities
- Maintain and update SQEP (Suitably Qualified and Experienced Personnel) records for employees and subcontractors
- Monitor competency records and training requirements for project personnel
- Coordinate mandatory site training, inductions, and renewal requirements
- Liaise with training providers, HR, and line managers to arrange training activities
- Maintain accurate digital and paper-based training and compliance records
- Schedule internal and external meetings for project teams
- Track meeting actions and ensure deadlines are followed up
- Prepare, update, and organise project documentation
- Support the preparation of reports, submission packs, and compliance documentation
- Maintain document control, version management, and structured filing systems
- Ensure documentation complies with quality assurance and audit requirements
- Act as the main administrative point of contact for the project team
- Process purchase orders, timesheets, expenses, and general project administration
- Liaise with internal departments including HR, HSEQ, Procurement, and external stakeholders
- Provide administrative support to Project Managers and the wider project team as required
Requirements
- Previous experience in an administrative or project support role
- Excellent organisational skills with the ability to manage multiple priorities
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to handle confidential and compliance-sensitive information
- Good working knowledge of Microsoft Office, including Word, Excel, Outlook, and SharePoint
- Ability to work independently and as part of a collaborative team
- Professional, reliable, and able to work under pressure
- Previous experience within construction, engineering, infrastructure, or another regulated industry
- Experience supporting projects within a highly regulated environment
- P4 Pass Holder
- Experience with document control systems and compliance documentation
