The Business Support Officer will be responsible for providing high quality, professional and confidential administrative and business support to the senior management team, including co‑ordinating operational and resourcing tasks, processing documentation, drafting communication materials and organising meetings and events. They will also provide accurate and efficient data validation and reporting in response to routine planning and financial schedules and other information requirements of key internal and external stakeholders, including Health Education and Improvement Wales, Health Boards and Trusts, Universities and Welsh Government.
The post holder will be responsible for the management of day‑to‑day queries received from Health Boards and Trusts and other stakeholders in relation to on‑going projects and programmes, acknowledging messages, supplying standard responses and escalating as appropriate. The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
Main Duties- Assisting in Planning and Design, including co‑ordination and documentation of operational and resource tasks.
- Developing and maintaining close working links with Finance for the purposes of reconciling workforce and financial data, as well as other stakeholders.
- Co‑ordinating event planning, communicating with suppliers.
- Undertaking small scale projects.
- Working with the budget holder, using Oracle to raise requisitions and receive incoming invoices in a timely manner.
- Collating financial information to give updates to colleagues.
- Assisting with arranging travel including booking of hotels/transport.
- Requesting new/replacement IT equipment and software following through to ensure delivery by IT service desk.
- Educated to NVQ Level 4 in Business Administration or equivalent level of qualification or significant equivalent previous proven experience.
- Understanding of the need to maintain confidentiality.
- Significant knowledge and experience of Microsoft Office, Outlook and the ability to adapt computing skills to new software as required, and a working knowledge of clerical, administration and HR procedures.
- Ability to work as part of a team and recognise the needs of others and their demanding workloads, to achieve deadlines and outcomes together.
