The Executive Assistant will provide high-quality, proactive support to the Managing Director, while also delivering defined coordination and diary support to the wider Senior Leadership Team. The role is designed to maximise the Managing Director’s capacity for strategic priorities, improve planning and meeting effectiveness, and provide consistent executive support across the leadership team. The postholder will also support the improvement of internal communications across the business, helping to drive greater clarity, consistency and visibility of key messages and priorities.
Day to Day
- Managing Director support: provide proactive diary and time management, including scheduling, prioritisation, travel arrangements, time buffering and protection of focus time for strategic work.
- Meeting and governance coordination: organise leadership meetings, ensure agendas are prepared, papers are requested and circulated on time, and support smooth meeting logistics.
- Briefing and follow-up: coordinate pre-reads, capture actions and decisions where required, monitor follow-ups and prompt owners to close out commitments.
- Stakeholder liaison: act as a professional first point of contact for internal and external stakeholders, handling communications, invitations and meeting preparation in a timely and professional manner.
- SLT support: provide agreed diary management and coordination support to members of the Senior Leadership Team, particularly for recurring forums, priority meetings and conflict resolution.
- Internal communications support: assist with internal communications activity, helping to improve the clarity, consistency and visibility of key business messages and priorities.
- Administrative support: undertake associated administration such as expenses, document management, purchase order processes where relevant, and ad hoc support during peak periods.
What will you bring?
- Previous experience in an Executive Assistant, Personal Assistant or senior administrative support role, ideally supporting a senior executive or leadership team.
- Excellent diary management, planning and organisational skills, with the ability to coordinate multiple stakeholders and shifting priorities.
- Strong written and verbal communication skills, with the ability to produce clear, professional correspondence and support internal communications activity.
- High levels of discretion, confidentiality and professional judgement.
- Ability to work independently, anticipate needs, solve problems and follow through on actions.
- Strong attention to detail and ability to maintain high standards of accuracy and presentation.
- Confident use of Microsoft Office and collaboration tools, including Outlook, Word, PowerPoint and Teams.
- Experience of supporting meeting preparation, agenda management, minute-taking or action tracking would be advantageous.
- Professional, credible and calm under pressure.
- Highly organised, dependable and able to manage conflicting demands effectively.
- Collaborative and service-oriented, with strong relationship-building skills.
