BPSS clearance will be required at basic level. Prior clearance will not be transferrable.


The SharePoint Administrator (Document Architect) will lead the design, implementation, and governance of document and information management solutions within the JDR Programme’s SharePoint environment. This role ensures that programme documentation is structured, controlled, and accessible through robust SharePoint-based systems, supporting compliance, collaboration, and operational efficiency. Acting as the bridge between technical SharePoint administration and document control best practice, the role will enable sustainable "business as usual" (BAU) operations for the lifetime of the programme.


Principal Accountabilities:



  • Design and maintain SharePoint-based document management architecture to meet programme requirements.

  • Establish and enforce document control standards, versioning, and metadata structures within SharePoint.

  • Configure libraries, workflows, and permissions to ensure secure and efficient document flow.

  • Collaborate with programme teams to integrate document management processes into project delivery.

  • Develop and maintain governance frameworks for document storage, retrieval, and archiving.

  • Provide technical guidance and training to stakeholders on SharePoint document management best practices.

  • Monitor compliance with organisational and regulatory requirements for records management.

  • Support audits and reporting by ensuring accurate and accessible documentation.

  • Liaise with IT and SharePoint administration teams to ensure system stability and performance.

  • Drive continuous improvement in document management processes using SharePoint capabilities.


Qualifications



  • A degree or certification in Business Administration, Information Management, Records Management or a related field.


Core Knowledge Areas



  • Strong knowledge of SharePoint (Online and/or Server) for document management, including libraries, workflows, and permissions.

  • Knowledge of metadata design and taxonomy for document classification.

  • Compliance and regulatory requirements in document management.

  • Document control procedures and industry standards.

  • Document management for large and complex construction or engineering projects.

  • Workflow automation tools for document management.

  • Understanding of project documentation types and processes (e.g. contracts, designs, specifications).


Technical Skills



  • Microsoft Office Suite (Word, Excel, Outlook) and SharePoint integration with Microsoft 365 tools.

  • Version control and file naming conventions. o Managing large volumes of documentation efficiently.


Experience



  • Document management systems (e.g., Aconex, SharePoint, Procore).

  • Managing both digital and physical documents.

  • Quality control and document verification.

  • Cloud-based document management platforms.

  • Familiarity with hybrid SharePoint environments and integration with other enterprise systems.

  • Document control for audits and compliance reporting.


Soft Skills



  • Strong organisational skills, with attention to detail.

  • Excellent written and verbal communication skills.

  • Strong analytical and problem-solving abilities.

  • Effective stakeholder communication (contractors, internal teams).

  • Ability to work under pressure and manage complex interfaces.
