Main Purpose of Job

We are looking for a self‑starting individual who has a track record for getting things done. You will be working as part of a small team, supporting the Director in day‑to‑day duties to ensure all projects are completed effectively and efficiently. The role will involve working in various locations and performing a range of tasks. The successful candidate must be organised, creative, and proactive.

Detailed Duties

  • Manage all tasks effectively and efficiently.
  • Discuss services and options with team members and potential clients.
  • Assist with the co‑ordination and delivery of services.
  • Effectively manage diary, assessing priority of appointments and reallocation as necessary.
  • Arrange meetings, venues, travel, hotels saving time and expenditure.
  • Organise social events including sourcing venues, negotiating costs and communicating effectively with staff and clients.
  • Proactively ensure Director is kept up‑to‑date of diary schedule daily.
  • Be aware of Director’s priorities and assist in organising them.
  • Act as key liaison point between Director and other directors, senior managers and key parties, maintaining good communications.
  • Attend meetings with Director and provide points of action in email format following all meetings.
  • Maintain/update written instructions for tasks/systems/training documentation.
  • Assist with the preparation of quotations for potential clients.
  • Conduct research and gather data relevant to business proposals.
  • Assist with managing client relationships to ensure revenue growth.
  • Check supplier invoices, client invoices and charges where appropriate.
  • Negotiate prices and terms with suppliers and clients.
  • Oversee own and Director’s business spending, submitting receipted returns to finance.
  • Produce key performance indicator data as required.
  • Implement market strategies and plans.
  • Develop ways of improving existing products and services, increasing profitability.
  • Develop customer journey (customer relationship management).
  • Identify target market and develop strategies to communicate with them.
  • Participate in online and offline marketing.
  • Be involved in interview and selection process.
  • Build and manage relationships within new accounts to grow revenue.
  • Maintain strong relationships with staff, clients and third parties.
  • Participate fully in business development and strategic discussions.
  • Bring ideas and draft proposals to meetings proactively.
  • Teach and train team members as agreed.
  • Take an active role in own development.
  • Maintain confidentiality, discretion and sensitivity with all information.
  • Portray professional image to colleagues, senior employees and clients.
  • Maintain high standard of dress, appearance and personal hygiene.
  • Promote strong, ethical, friendly and efficient team culture.
  • Liaise with staff, clients and third parties professionally.
  • Be aware of organisational goals, making decisions accordingly.

Apprentice Scheme

This vacancy is part of the government apprenticeship programme. The successful candidate will spend one day a week at college, and four days a week at the office, following the Advanced Level Apprenticeship in Enterprise. The programme lasts one year and, on completion, the apprentice will receive a qualification and a full‑time role offer.
