The predicted salary is between 15 - 22 £ per hour.
This position is a 1 year fixed term contract to cover Maternity, 38 hours per week (4 days x 9.5 hrs) including occasional Saturdays. The Regional Supervisor will be based in our Finchley clinic and the successful applicant must be prepared to travel throughout all of our clinics across Greater London.
Working with the Regional Manager to supervise staff and provide a supportive and non-judgemental administrative service to patients. To ensure an inclusive appointment system, referral system and patient centred service. To work in accordance with the terms of the Care Standards Act, Abortion Act and all other statutory requirements.
Main duties of the job:
- Lead by example and work with administration staff to ensure the consistent delivery of effective patient oriented services and effective administrative services.
- Ensure staff compliance with Clinic protocols.
- Delegate responsibilities to Administration staff fairly and equitably providing advice and guidance as necessary.
- Compile rotas for administration staff.
- Assist in the recruitment, induction and training of administration staff as and when required.
- Authorise annual leave for administrative team ensuring the administration department is adequately covered with trained staff.
- Ensure that all legal and statutory documentation is completed accurately in a timely manner and stored correctly.
- Ensure all charges are completed on patient records appropriately and timely and reconcile at the end of each month.

Job responsibilities:
- Deliver a consistent, patient centred, caring, confidential and professional administration and reception service to patients.
- Take appointment bookings from patients and answer queries.
- Meet and greet patients.
- Treat all patients with dignity and respect and maintain strict patient confidentiality.
- Liaise with clinical and medical staff regarding specific patient needs and medical queries.
- Monitor and adjust diaries in line with rotas, working hours and keeping wait times to a minimum.

Person Specification:
- 2 years experience in an administrative capacity involving face-to-face contact with the public.
- Significant administrative experience in a care environment dealing with anxious patients.
- Secondary standard of education or NVQ Level 2 or equivalent.
- Computer literate with reasonable level of keyboard skills and knowledge of systems, procedures, techniques, programming.
- Good communication skills and interpersonal skills.
This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
