NABA London is currently seeking motivated individuals for the role of Academic Registration & Student Support Specialist. The successful candidate will join the team in London and will report directly to the School Director & Head of Education. He/she will provide comprehensive support to students throughout their academic journey, from enrollment to graduation, ensuring the smooth execution of all administrative processes, contributing to an efficient and student-centered academic environment.
The Academic Registration and Student Support Specialist will collaborate closely with the Academic Services & Student Life Specialist and share some daily tasks in order to guarantee continuity of operations and services. The selected candidate will carry out the following activities:
- STUDENT SUPPORT: Act as first reference point of contact for students about the Academy, accommodation, National Health Service and National Insurance Number, Health Insurance, special deals available, practical info on daily life in UK, Academic Regulations and Policies and about their academic career and progression, in order them to be facilitated in managing their academic journey. Manage the key mailbox for students’ enquiries. Oversee the course change, interruption of studies, self-withdrawal, transfer of studies (together with the Admission Officer) and the enrollment phase to following Levels. Provide administrative assistance (general information and documentation) to students and their parents to support the administrative processes – after their arrival. Support students in relation to VISA. Monitor daily the correct creation of lessons registers in order to guarantee the timely lessons’ delivery and the availability of data both at faculty contract level and for the students’ attendance monitoring. Work closely with the Head of Education and Course Leaders in the monitoring of students’ attendance and academic experience and addressing students by proposing remedial or support measures in line with institutional and regulatory requirements and reduce the risk of disengagement or dropout. Receive and process student certification requests. Update of the Student Portal with the relevant information.
- ASSESSMENT and STUDENT PROGRESSION: Support the organization of internal and external assessment, the collection of students’ career data/information and assessment evidence for External Examiner and for the Assessment/Progression Boards and support the Boards self with the formal meeting minutes. Provide guidelines and timelines for the assessment activities to the faculty. Oversee the correct recording of assessment results within the Student Information System. Oversee the publishing of grades (provisional and final) within the Student Information System and oversee the timely communication to students.
- ADMINISTRATIVE ACTIVITIES: Oversee the Student management and of students’ records. In charge of the transfer of data to the relevant Institutions by following the privacy policies and the given guidelines. Act as the first administrative reference point for the Validation Partner in any matter related to Student records and on the issuing of students’ transcripts and certificates. Reference point of contact for the National Student Survey activities. Provide NABA offices and relevant Institutions with due data reports, necessary for the correct functioning and management of the Academy. Monitor the student re-enrollment (to following levels) phase. Might be nominated as member of the Course Panels with active role in it.
- RECEPTION: Provide a welcome service to students, tutors, guest lecturers. Provide general information about the Campus addressing them to reference spaces or services. In the first year of the School operation: coordinate with the external reception and support the management of incoming calls. From the second year of operations coordinates and supports the reception shifts and their coverage and assures the management of switchboard. Support the Library opening hours.
REQUIREMENTS:
- Education and Experience: Bachelor’s or Master’s degree preferred in Educational Management or Languages. At least 3-5 years of experience in academic support, educational administration, or coordinating academic activities, preferably in an international or higher education environment. Experience in managing timetables, planning, and coordinating academic events and activities. Familiarity with academic management systems (e.g., student management software) and administrative practices in educational contexts (particularly in the UK or higher education sector).
- Technical and Organizational Skills: Strong planning and organizational skills: ability to effectively manage timetables and academic resources, ensuring all activities are scheduled on time and without conflicts. Excellent understanding of academic processes in an international context, especially related to timetabling, student career management, and faculty support. Knowledge of student visa processes, National Insurance Number registration, and health insurance for international students is a plus. Knowledge of UK academic regulations related to attendance, student career management, and dropout prevention strategies. Good level and experience in the use of Microsoft Excel. Knowledge of Hyperplanning tool is a plus.
- Interpersonal and Soft Skills: Excellent communication and interpersonal skills, with the ability to engage effectively with students, faculty, and academic staff, fostering a supportive and collaborative environment. Problem-solving skills to address the daily needs of students and faculty while maintaining high satisfaction levels. Customer-focused approach: ability to provide attentive and professional support to students, ensuring positive and productive experiences. Teamwork skills, working closely with other departments (e.g., Career Services, Industry Relations) to ensure smooth management of activities. Proactivity and adaptability in a fast-paced, dynamic environment typical of an academic start-up.
- Language Skills: Fluency in English (C1/C2 level) both written and spoken. Additional language skills are a plus.
