About the Role: We're looking for a highly organised, proactive, and people-focused Workplace Experience Manager (Office Manager) to help us build a world-class employee experience. This role reports to the VP of Sales and is essential in fostering a welcoming, well-run, and engaging workplace.

This role requires someone to play a crucial role in shaping the daily experience of our team. This is a dynamic role for someone who thrives in a fast-paced environment, enjoys creating meaningful experiences, is a self-starter and is passionate about supporting both people and place.

Location: This role will be 5 days a week onsite in our London office. Our office hours when onsite are 9:00am - 5.30pm. There may be times that your presence will be needed in the office earlier and prior notice will be given.

Key Responsibilities:

  • Drive employee engagement by coordinating in-office initiatives, including team events, volunteer days, awareness campaigns, and themed activities.
  • Support wellbeing, facilities, and WHS initiatives to maintain a positive, safe, and compliant work environment, including wellness programs, amenities, feedback channels, first aid supplies, and safety training coordination.
  • Coordinate onboarding logistics for new starters - welcome packs and hosting new joiner welcome lunches.
  • Enhance the onsite candidate experience by supporting interview logistics, greeting candidates and setting up meeting spaces.
  • Plan and manage 'Lunch & Learn' sessions, including scheduling, communications, room bookings and catering.
  • Coordinate with vendors and service providers for office events, catering, and workplace services; manage associated administration.
  • Assist with planning and delivery of leadership events, such as offsites, town halls or leadership planning workshops.
  • Manage recognition programs logistics, including award winner announcements and prize coordination.
  • Oversee scheduling of people and culture events, taking into account business calendars, bank/school holidays, and blackout/no-go periods.

Office Management:

  • Lead day-to-day London office operations: vendor management, office supplies, mail, and general upkeep.
  • Act as the first point of contact for office-related issues, coordinating with IT and Facilities teams.
  • Welcome visitors and ensure a smooth check-in process; manage guest passes and access.
  • Ensure all office equipment and kitchen facilities are well-maintained and stocked.
  • Coordinate catering, meeting logistics, event setup, and room bookings.
  • Handle invoice and expense processing related to office purchases and events.
  • Ensure compliance with Health & Safety policies and support emergency preparedness.

Leadership & Executive Support:

  • Provide light administrative support to the EVP and Leadership team, including managing calendar invites and meeting logistics across time zones.
  • Coordinating travel and expense reconciliation.
  • Supporting presentation and document preparation as needed.
  • Participate in planning leadership communication and meeting cadence across domains.

Skills, Knowledge and Expertise:

  • A genuine interest in people-first culture, workplace experience, and team wellbeing.
  • Prior experience supporting working in an office/facilities environment.
  • Exceptional organisational skills and the ability to juggle multiple priorities.
  • Confidence managing logistics, travel, and expenses with attention to detail.
  • Professionalism, confidentiality, and strong interpersonal skills.
  • A positive, flexible attitude and ability to work independently.
  • Willingness to be onsite 5 days a week and support early/late meetings as needed.
  • Experience in a fast-paced, global company is a plus.
