Medical Records and Ward Administrator

As a Medical Records and Ward Administrator at our Leeds Hospital, you will divide your time between the ward reception desk and the Medical Records Department.

You will bring a keen eye for detail, strong secretarial skills and great communication abilities.

You're proficient with Microsoft Office, comfortable working with numbers and you're committed to providing our teams with the best level of support.

Key responsibilities include

  • Managing and processing Subject Access Requests (SARs) from start to finish, ensuring all requests are logged, quality checked, and completed accurately within required timescales.
  • Maintaining accurate medical records, ensuring they are accessible and up to date for patient admissions and ongoing care.
  • Providing high-quality administrative support using CRM systems and Microsoft Office applications.
  • Supporting the wider Medical Records team with filing, tracking, and locating patient records.
  • Emailing discharge summaries to GP's and ensuring documentation is distributed appropriately.
  • Answering calls from patients, responding professionally to enquiries, and escalating concerns to the relevant clinical teams when required.
  • Welcoming patients on arrival for admission, greeting them professionally, and escorting them to their rooms.
  • Delivering exceptional customer service to patients, visitors, and colleagues at all times.
  • Prioritising a busy workload effectively while maintaining a high level of accuracy and attention to detail.
  • Remaining calm under pressure and demonstrating professionalism in a fast-paced healthcare environment.
