We’re looking for a Fleet Administration Coordinator to join our Land business, supporting MSC operations and playing a key role in keeping fleet assets compliant, tracked, and operational.

This is a fast‑paced, coordination‑focused role at the heart of fleet operations, working with stations, suppliers, and internal teams to ensure vehicles and equipment are maintained and available in line with the annual plan.

The role involves providing day‑to‑day administrative and planning support across MSC fleet operations. You’ll coordinate servicing events, maintain accurate records, and support defect and compliance management to ensure assets remain safe, legal, and ready for use.

Day-to-day, you will:

  • Coordinate planned servicing, inspections, and fleet events in line with the annual maintenance plan
  • Maintain accurate asset, mileage, and compliance records within fleet systems
  • Monitor priority assets, manage defects, and support resolution with relevant stakeholders
  • Ensure compliance documentation is current, complete, and audit‑ready
  • Liaise with stations, suppliers, and internal teams to keep fleet operations running smoothly.

This is a full‑time, permanent, onsite role based in Ruislip, working 40 hours per week, Monday to Friday (07:00–16:00).

Essential experience:

  • Strong organisational skills with the ability to prioritise work in a busy environment
  • High attention to detail and confidence maintaining accurate records
  • Comfortable working with systems, databases, and Microsoft Office applications
  • A proactive, collaborative approach to problem‑solving and coordination.

Security Clearance:

The successful candidate must be able to achieve and maintain Standard (BPSS) security clearance for this role. Many of the positions within our company are subject to national security clearance and Trade Control restrictions.
