An exciting opportunity has arisen for an experienced Administrator to join our client's successful practice based in Leamington Spa. This is a permanent office-based role working either full-time Mon-Fri 9-5pm or part-time working 3-4 days per week until 5pm. Salary £25k - £26k pa F/T pro rata if P/T plus company benefits.

The successful candidate will provide a full secretarial and support service within the department, assisting multiple Fee Earners. You will need excellent keyboard skills, a polite and patient manner, initiative, and a flexible approach.

Knowledge and Experience:
  • Excellent keyboard skills with a good knowledge of Outlook and Word.
  • Strong administrative experience essential.
  • Dynamic in approach and uses initiative when dealing with clients or potential clients.
  • A positive approach to customer service.
  • Ability to be a team player and flexible outlook.
  • Efficiency to deal with awkward situations and difficult clients in a professional manner.
  • Ability to remain discreet and maintain employee and client confidentiality at all times.
Key Responsibilities:
  • Undertaking typing and secretarial work within the Family Department for multiple Fee Earners but also assisting when needed across the Department as part of the Family support team.
  • Dealing with initial new client enquiries, allocating them amongst fee earners and signposting appropriately.
  • Handling of and dealing with clients' calls (as delegated by Fee Earners) and liaising with Fee Earners on case developments.
  • Dealing with clients by phone, email and in person (as delegated by Fee Earners depending on experience).
  • Diary management.
  • Case management - under guidance of Lead Fee Earner.
  • Making appointments for clients.
  • Conflict checks on new clients.
  • Preparation of files for upcoming appointments and passing to Fee Earner.
  • Preparation of documents (as delegated by Fee Earners).
  • Preparing case files for Court hearings.
  • Maintaining filing systems (through case management system).
  • Providing general administration tasks, as and when required.
