We’re looking for an experienced Project Director – Logistics Lead to take ownership of the operational logistics for a major global technology client, delivering complex conferences, exhibitions and corporate live events across multiple locations.
This is a senior project leadership role for someone who understands that event logistics is much more than moving people and things.
What do we mean by Event Logistics?
Logistics is the operational engine that turns an event plan into a live event.
It is the management of attendee movement, venue operations, staffing, transportation, suppliers, security, risk and onsite execution required to deliver a seamless event experience — from initial planning through to final reconciliation.
As the Logistics Lead, you’ll bring all of these moving parts together, creating the operational strategy, plans and processes that make complex events work.
You’ll lead logistics across large-scale global programmes, working closely with our Account Directors, Event Services, Production, Creative, Registration, Sponsorship and other specialist teams to ensure every element is planned, coordinated and delivered to the highest standard.
What you'll be doing
You’ll own the logistics strategy and operational delivery across major corporate events, conferences and exhibitions, acting as the senior logistics lead for the programme.
You’ll be responsible for bringing together multiple workstreams, suppliers, teams and stakeholders to create a safe, efficient and exceptional experience for attendees and clients.
Attendee Logistics
- Develop and manage strategies for attendee movement and flow across large-scale events.
- Plan transportation, arrivals, departures, transfers and other attendee logistics.
- Work closely with Registration and other teams to ensure a seamless attendee journey.
- Identify potential operational challenges and develop solutions before they impact the event.
Venue & Operational Logistics
- Lead venue logistics planning across complex conference and exhibition environments.
- Develop detailed operational plans, schedules, floorplans, logistics trackers and onsite processes.
- Coordinate access, loading, unloading, storage, deliveries, back-of-house operations and venue requirements.
- Ensure operational plans integrate effectively with Production, Technical Production, Registration, F&B, Sponsorship and Creative.
- Lead the transition from planning into onsite delivery and ensure the operational plan works in practice.
Security & Risk Management
- Work with clients, venues, security teams and suppliers to develop robust operational security plans.
- Identify operational risks across the programme and develop appropriate mitigation and contingency plans.
- Ensure teams are prepared to respond quickly and effectively to unexpected situations.
- Maintain a calm, proactive and solutions-focused approach throughout delivery.
Staffing Logistics
- Develop staffing and resource plans for event delivery.
- Coordinate event staff, freelancers, contractors and operational teams.
- Ensure teams are appropriately briefed, scheduled and positioned to support the attendee and client experience.
- Work with internal teams to ensure the right people and resources are in place at the right time.
Supplier & Vendor Management
- Lead and coordinate logistics suppliers, service providers and operational partners.
- Manage supplier relationships, contracts, scopes and performance.
- Ensure suppliers understand the wider event strategy and how their workstream integrates with the overall operation.
- Negotiate and manage supplier costs while maintaining quality and operational standards.
Onsite Event Operations
- Take a senior leadership role onsite, overseeing the operational delivery of the event.
- Lead logistics teams and coordinate multiple operational workstreams in real time.
- Act as a key escalation point for operational issues and make confident decisions under pressure.
- Ensure the event runs safely, smoothly and to the standards expected by our clients.
- Lead post-event reconciliation, reviews and lessons learned, driving continuous improvement.
Client & Project Leadership
As Project Director – Logistics Lead, you’ll be a senior point of contact for the client, providing strategic advice and practical solutions throughout the programme.
You’ll:
- Build trusted relationships with senior client stakeholders.
- Translate business and attendee objectives into practical operational strategies.
- Work closely with Account Directors and wider project leadership to ensure logistics supports the overall programme.
- Lead logistics meetings, planning sessions and operational reviews.
- Manage multiple complex workstreams while maintaining a clear view of the bigger picture.
- Ensure operational decisions balance attendee experience, safety, quality, commercial performance and deliverability.
Financial & Commercial Management
You’ll also have strong commercial ownership of the logistics function, including:
- Developing and managing significant logistics budgets, potentially up to $55m.
- Forecasting and monitoring programme spend.
- Managing supplier costs and negotiating commercial terms.
- Identifying commercial risks and opportunities.
- Ensuring logistics programmes are delivered efficiently without compromising quality or experience.
Leadership
You’ll lead multidisciplinary logistics teams across complex international programmes, providing direction, mentoring and support throughout the project lifecycle.
You’ll help us continue to build our logistics capability, developing best practice, supporting resource planning and creating a culture of collaboration, accountability and operational excellence.
What you will bring
We’re looking for an experienced event logistics and operations leader who understands the complexity of delivering large-scale corporate events.
You’ll ideally have:
- 10+ years’ experience in event logistics, event operations or a related senior live events role.
- Significant experience delivering large-scale corporate conferences, exhibitions and live events, ideally for major technology or global brands.
- Proven experience acting as the senior Logistics Lead or Project Director across complex international programmes.
- Experience managing events with 5,000–20,000+ attendees.
- Strong knowledge of attendee logistics, venue operations, staffing, transportation, security, suppliers, risk management and onsite event operations.
- Experience managing multiple suppliers, service providers and operational partners.
- Strong project leadership and stakeholder management skills.
- The confidence to act as a senior advisor to clients and challenge constructively when required.
- Strong financial and commercial acumen, including experience managing significant budgets.
- Excellent organisational skills and the ability to manage multiple complex programmes simultaneously.
- Advanced Microsoft Excel skills, with confidence using PowerPoint and other business systems.
- A calm, proactive and solutions-focused approach, particularly when operating under pressure.
Most importantly, you’ll be someone who loves making complex events work.
You’ll naturally think about what could go wrong, what people need, how teams will move, how a venue will operate, where the pressure points are and what needs to happen behind the scenes to make the experience feel effortless for the attendee.

- UK or US based, working in a hybrid environment.
- UK-based colleagues may be required to attend our Staines-upon-Thames office as needed to support collaboration and client requirements.
- Willingness and ability to undertake international travel throughout the year, approximately 20–30%.
- Flexibility to work across multiple global time zones when required.
