We’re looking for an Operations Administrator to join our team at NSS, supporting the end-to-end process from completed works through to client reporting and invoicing. This is a detail-focused role, ideal for someone who enjoys working with data, systems, and ensuring jobs are closed accurately and on time. You’ll be responsible for preparing and submitting post-works reports, raising invoices, and chasing outstanding jobs to ensure work completed is billed efficiently and in line with client requirements.
Your job will include:
- Review completed works using in-house CRM and job management systems
- Prepare clear and accurate post-works reports, including before and after images
- Submit reports to clients via email or client portals
- Raise and issue invoices in line with client billing processes and timescales
- Monitor PO compliance and flag missing or incorrect POs
- Support with invoicing queries and resolve issues preventing payment
- Chase outstanding or incomplete jobs to enable invoicing
- Maintain weekly and monthly reporting on incomplete and uninvoiced works
- Support cashflow by minimising completed but uninvoiced work

Experience / Personal Attributes Required:
- Administration or invoicing experience (property or FM sector preferred but not essential)
- Strong attention to detail and accuracy
- Confident using Excel and business systems
- Well organised with the ability to prioritise workloads
- Clear communicator with good interpersonal skills
