This is not a passive admin role. You will be the central hub that keeps our sales operation running smoothly. You will own the behind-the-scenes commercial work: preparing proposals, sourcing pricing, liaising with suppliers, managing procurement, and coordinating with the project delivery team. When the outside sales team is on site or on the road, you are their anchor in the office as well as the opportunity to own your own sales.
Your Key Areas of Responsibility
- Proposal & Pricing Support
- Preparing accurate, professional proposals and tender responses for racking, shelving, mezzanine floors, commercial interiors, and solar PV systems.
- Working with suppliers and internal estimators to source competitive pricing quickly.
- Ensuring all proposals include correct specifications, technical drawings, and commercial terms.
- Communication & Coordination
- Acting as the main point of contact between the outside sales team, suppliers, and the project delivery team.
- Managing internal workflows so nothing gets lost, chasing supplier quotes, updating the sales team on progress, and flagging delays before they become problems.
- Supporting procurement activities, including raising purchase orders and tracking deliveries.
- CRM & Pipeline Administration
- Maintaining meticulous records in the CRM (Dynamics) logging every quote, every follow-up, every lost deal reason.
- Supporting the outside sales team with pipeline reporting, activity tracking, and opportunity management.
- Proactively chasing outstanding actions from both customers and suppliers.
- Sales Support & Customer Experience
- Handling inbound enquiries where appropriate, qualifying leads before passing to the outside team.
- Preparing site visit packs, drawing packages, and customer presentation materials.
- Ensuring every client touchpoint feels professional, responsive, and organised.
- Operational & Project Handover
- Supporting a smooth handover from sales to projects once an order is secured.
- Ensuring all relevant documentation (contracts, spec sheets, approvals) is in place before the project team takes over.
First 3 Months: Your Example Success Scorecard
- Month 1 Learn the Products & Process – Deep-dive into NSI's service lines. Shadow the outside sales team. Understand supplier relationships and estimating tools. CRM fully understood. Supplier contact list mapped. 5+ proposals shadowed or co-written.
- Month 2 Own the Workflow Independently prepare proposals and pricing requests. Manage procurement tasks. Build rhythm with outside sales team. 10+ proposals prepared. Zero missed supplier deadlines. Positive feedback from outside sales team.
- Month 3 Drive Efficiency – Identify one process improvement (e.g., proposal templates, supplier response times). Support at least one live deal to handover stage. 15+ proposals prepared. 1 process improvement implemented. Smooth handover on at least 1 live project.
What We're Looking For
- Essential: Some experience in sales support, estimating, procurement, or coordination within construction, fit-out, racking, or a related B2B industry.
- Highly organised, with superb attention to detail, you don't let things slip.
- Comfortable with numbers, pricing, and basic technical drawings or specifications.
- Proficient in CRM systems and Microsoft Office (Excel, Word, Outlook).
- Desirable: Familiarity with warehouse racking, mezzanine floors, or commercial interiors.
- Experience using Dynamics, or similar CRM.
- Understanding of contract conditions and basic H&S requirements.
