Traditionally in the areas of decommissioning and waste management, NSG now has a broad customer base and provides a wide spectrum of services across the nuclear project lifecycle, ranging from expert consultancy support, R&D and engineering design to rekit and refurbishment, site installation services and high-hazard physical decommissioning works, amongst others.

This work is delivered at NSG’s own offices and purpose-built facilities and nuclear sites across the UK.

The delivery and management of these projects and programmes of work is carried out by a skilled workforce composed of both white-collar and blue-collar personnel in technical, administrative, and physical roles.

The Role

To provide an efficient and effective communication channel between Company personnel and outside contacts, and to ensure the provision and completion of administration tasks as directed by the Facilities Manager.

  • Reception Tasks
  • To receive all physical visitors to the company, ensure they are met promptly, appropriately registered in visitor logs and passed to the appropriate source / relevant member of staff.

As visitors leave the building ensure that they sign out.

  • To prepare ‘Welcome Board’ and Visitors Induction.
  • To order working lunches and refreshments for visitors and clients, liaising with outside caterers for service of buffets etc – Raising purchase order requests for each order.
  • Update welcome screen within Reception daily.
  • Operate our teams operated telephone system to receive and announce all incoming calls to relevant member of staff, and to provide callers with an informed response / point of reference.
  • Maintain NSG Environmental Microsoft Outlook Contacts Database.
  • Organise pool cars for NSG Environmental staff – arrange services, MOTS etc. Completing booking forms and sending records to appropriate point of contact.
  • Record, frank and issue outgoing mail; sort, record and distribute incoming mail.
  • Booking of hotels and making travel arrangements, preparing purchase order requests, keeping travellers up to date with arrangements and sending invoices to Accounts.
  • Booking meeting rooms. Preparing them for meetings (tea, coffee etc).
  • Ordering and distribution of fruit on a weekly basis.
  • Meter reading of printer on Reception.
  • Ad-hoc – arranging of off-site events (Value Awards dinner, off-site team meetings etc).
  • Other Ad-hoc duties as required.
  • Administration
  • Administration Tasks
  • To action promptly and accurately all administrative tasks as assigned by the Facilities Manager. This may include such elements as :
  • General record keeping.
  • Monitor stock levels of stationery and requisition / re-order replacement stocks as required.
  • Operate equipment including photocopier, franking and binding machines, ensuring routine maintenance is carried out and calling for repair if necessary.
  • Receipting of goods, invoices and delivery notes – fruit / stationery.
  • Sending of company cards and flowers etc.
  • Raising Purchase order requests, uplifts, budget spreadsheet.
  • General business support administration as required/instructed.
  • Ringing/chasing sub-contractors.

Person Specification

Qualifications

  • GCSE / NVQ level 2 qualification in appropriate subjects including: English, Mathematics, IT - Essential
  • NVQ 2 in Customer Service and other relevant subjects - Essential
  • Membership of appropriate technical / professional body - Desirable
  • Level 2 Health & Safety in the Workplace or equivalent - Relevant training will be provided if required

Experience & Knowledge

  • Well organised with the ability to work to timescales and demonstrate attention to detail - Essential
  • Routine recording and reporting of information both verbal and numerical - Essential
  • Reception of physical and telephone callers - Desirable
  • Experience of employment in a customer facing role - Essential
  • Familiar with structuring and presentation of own work - Desirable
  • Used to dealing with confidential and commercial information - Desirable
  • Familiar with integrated management system operating procedures and requirements etc. - Desirable

Package

  • Hours - 37.5 hours per week
  • Overtime – 37.5-60hours per week – Time and half
  • Overtime – 60+ hours per week or Sundays – Double time
