A leading name in several fields of manufacturing, with a major European and UK presence spanning many operational plants, is seeking a Customer Service Administrator / Sales Administrator at their Northamptonshire based site.
The Role
Job Purpose
Reporting to the Site Manager, whilst in daily connection with the Sales Manager, you will provide administrative support and service to the sales team as well as providing excellent customer service to our international customer base.
Job Summary
As part of a dynamic and fast-paced team, you will demonstrate a positive and enthusiastic attitude, self-motivation and a professional telephone manner. The role requires excellent communication and IT skills, previous sales or customer service experience and the ability to build effective working relationships at all levels of the business.
Responsibilities
- Accurately process customer orders, ensuring all system entries, documentation, and certification are correct.
- Liaise with internal departments to ensure customer deadlines and delivery timeframes are met.
- Maintain complete and up-to-date customer and order records, including delivery issues, amendments, and changes to customer requirements.
- Respond promptly to customer enquiries regarding product availability and delivery dates.
- Create job sheets and generate new part and tooling numbers, updating relevant systems and files.
- Prepare and issue quotations for new and existing customers.
- Prepare customer samples and arrange shipment to customers.
- Raise proforma invoices and credit notes as required.
- Work alongside Credit Control to chase aged debtors and attend weekly review meetings.
- Carry out filing and archiving in line with company procedures.
- Monitor customer ordering activity to ensure regular order placement while maintaining consistent communication to develop and strengthen customer relationships.
- Investigate customer quality issues and complaints, gathering relevant evidence.
- Support the sales team in compiling weekly and monthly sales reports.
Skills and Experience Required
- GCSE’s or equivalent in Maths and English.
- Sales order processing systems experience using iScala or other access-based sales order processing systems.
- Excellent English language skills.
- Competent on Microsoft packages including Word and Excel.
- Confident, clear and polite telephone manner.
- Strong organisational, numeracy and literacy skills.
- Flexible approach and ability to work under pressure and meet deadlines.
- Strong interpersonal skills including ability to build relationships.
