An exciting opportunity has arisen for an experienced and dynamic Service Administrator to work within our Tunbridge Wells. The Service Administrator is responsible for efficiently and effectively undertaking, implementing and managing all administration tasks relating to the workshop, technicians, and customers.

We provide specialist vehicles on short and long‑term hire, a range of vehicle maintenance packages and offer a large portfolio of high‑quality used vehicles for sale. Established in 1996, we’ve supported our valued customers to rationalise and decarbonise their fleets, save money and improve efficiency by reducing ‘Vehicle Off‑Road’ (VOR) time.
What candidate are we looking for?
- Experience from within a similar role within an administrative capacity such as Administrator, Fleet Administrator, Customer Service Administrator or Depot Administrator
- Excellent organisational skills to ensure efficient and smooth running of the service function
- An effective, clear and concise communicator – both written and verbal
- Ability to identify information needs on behalf of customers
- Confidential with the understanding of what type of information and advice may be provided to whom
- Excellent understanding of computer systems (Excel and Word)
- Attention to detail with the ability to effectively prioritise in a fast‑paced function
- Professional telephone manner when dealing with colleagues, customers and external suppliers
What will be your duties?
- Record all parts used by uploading onto the RAMS system and charging out associated costs
- Manage invoices
- Ensure that parts received are inputted in a timely manner
- Ensure that job cards are opened for every job prior to work commencement
- Ensure all parts used are recorded on job cards, uploaded to RAMS and charged to the appropriate cost centre
- Support the fleet management system by uploading compliance documents and amending due dates
- Keep customers fully informed of work in progress (WIP) and any potential delays or unexpected work/ increase in costs
- Ensure all work pre‑authorisation from the customer is authorised to proceed and appropriate PO numbers are supplied and recorded
- Provide support to the workshop team by producing estimates and obtaining work authorisations to improve efficiency
- Take workshop calls and field them to relevant teams as required
- Record vehicle breakdowns and pass them to appropriate members of staff for action
- Assist with the receiving and collection of vehicles to repair, including completion of booking in and out process
- Order tyres via DTM and ensure all paperwork is in order
- Receive and detail vehicle defects from drivers and process them as required to ensure work is complete
- Manage the administration of all ‘O’ licence maintenance related procedures
- Carry out manual handling duties when needed
